REQUIREMENTS

  • Experience with Clio and NetDocuments are assets
  • Proven experience in an administrative or clerical role within a legal setting is preferred
  • Strong organizational skills with the ability to manage multiple tasks simultaneously
  • Excellent communication skills, both verbal and written
  • Experience with human resources functions including payroll management is desirable
  • Familiarity with office management practices and vendor management techniques
  • Ability to work effectively in a team environment while also being self-motivated
  • Previous supervisory experience is an advantage
  • Knowledge of filing systems and document management practices

Responsibilities

THE ROLE

You’ll be responsible for keeping our operations smooth, maintaining our practice management systems, updating our policies and procedures, leveraging our technology, coordinating vendors, supporting client communications, and maintaining an efficient, welcoming office environment.
You must be tech-savvy, detail-oriented, and able to protect attorney time without being stiff. We value competence, character, and good judgment. If you thrive in a fast-paced, client-focused role and bring both warmth and precision, we want to hear from you.
You will also be the dedicated legal assistant for one of our lawyers.

DUTIES

  • Ensuring that we are properly leveraging our document management and practice management technologies
  • Updating policies and procedures to maximize organization and efficiency
  • Provide administrative support to lawyers
  • Organize and maintain legal files, ensuring all documents are accurately filed and easily accessible
  • Assist with drafting legal documents, correspondence, and reports
  • Manage vendor relationships and coordinate office supplies
  • Support human resources functions such as payroll processing and employee training & development
  • Support our external bookkeeper
  • Supervise staff members, providing guidance and training as needed
  • Maintain effective communication with clients, attorneys, and other stakeholders to ensure timely updates on case progress
  • Assist in budgeting processes to ensure efficient office operations
