JOB SUMMARY:

We are seeking a highly organised, proactive, and detail-oriented Office Manager to oversee the daily administrative operations of our office. This role is essential in ensuring that Little Angels runs smoothly, efficiently, and professionally. The ideal candidate is a natural multitasker with excellent communication skills and a knack for problem-solving.

REQUIREMENTS:

  • Excellent written and verbal communication skills
  • Strong organisational and planning skills
  • Strong interpersonal skills and a friendly, approachable manner
  • Ability to be discreet and maintain confidentiality
  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
  • Knowledge of office administrator responsibilities, systems, and procedures
  • Proficiency in Google Drive (Google docs, sheets, slides) and office management software
  • Excellent time management skills and ability to multitask and prioritise work
  • Attention to detail and problem-solving skills
  • Bachelor’s degree

    Pay: £29,000.00-£32,000.00 per year
    Expected hours: 20 – 40 per week

KEY RESPONSIBILITIES:

  • Manage relationships with parents and suppliers, with strong communication skills and a welcoming attitude
  • Support recruitment and onboarding processes including DBS checks, staff file compliance and inductions
  • Ensure all paperwork and data protection requirements align with regulatory standards (e.g., Ofsted, EYFS framework)
  • Maintain up-to-date knowledge of early years regulations and ensure documentation is inspection-ready
  • Coordinate parent communications, newsletters, events, and meetings with the marketing officer
  • Oversee accounts payable and accounts receivable processes with administrative assistants
  • Oversee and support all administrative duties in the office to ensure smooth operations
  • Manage supplies inventory and place orders as necessary
  • Oversee contract renewals, leading on large contracts worth over £60k p/a
  • Organise and schedule meetings and appointments
  • Maintain IT equipment
  • Handle incoming and outgoing mail and packages
  • Support HR and finance functions (e.g., maintaining employee records, assisting with payroll or budget tracking)
  • Ensure the office is clean, organised, and welcoming at all times
  • Liaise with local authorities regarding funded childcare placements and ensure funding claims are accurate and submitted on time
