Office Manager / Administrative Assistant Location: On-site (San Francisco) Employment type: Full-time About the role We're looking for an Administrative Assistant / Office Manager to keep our office running smoothly and give our engineering team dedicated logistical support. You'll split your time between company-wide office management (space, supplies, vendors, front-of-house, events) and hands-on coordination for engineering leadership and the broader engineering team. You'll work closely with engineering managers, tech leads, and individual contributors, learning enough about how the team operates to anticipate needs before they're asked. What you'll do: Office management Keep the office running: manage supplies, mail, deliveries, vendor relationships (cleaning, catering, maintenance), and front-of-house duties like greeting visitors and candidates. Own facilities logistics: desk assignments, seating changes, conference room upkeep, equipment/furniture ordering, and troubleshooting building or vendor issues. Manage office budget line items: process invoices, track expenses, and negotiate with vendors and service providers. Plan company-wide events, all-hands meetings, holiday parties, and offsites, handling logistics from venue to catering to A/V. Support new-hire onboarding company-wide: workspace setup, welcome logistics, and first-week scheduling in partnership with People Ops. What you'll do: Engineering support Manage calendars for engineering leadership: schedule 1:1s, team syncs, brown-bags, all-hands, and cross-functional meetings, resolving conflicts proactively. Coordinate interview loops for engineering candidates: scheduling panels, booking rooms/video links. Own equipment and account provisioning for new engineers, and track software licenses, tool subscriptions, and vendor renewals used by the engineering team. Organize engineering offsites, team events, and travel for conferences (flights, lodging, registration) within budget. Maintain lightweight documentation: team rosters, on-call rotations, meeting notes/action items, and shared drives or wikis used by engineering. Act as a liaison between engineering and other departments (Finance, People Ops, Facilities, IT) to keep requests moving without engineers needing to chase them. Support engineering leadership with correspondence, presentation prep, and light project coordination (e.g., tracking roadmap deliverables).
