Louis Vuitton is seeking a highly motivated and dedicated Office Manager to join our distinguished team in our New York City office. As an Office Manager, you will be responsible for ensuring the seamless execution of daily operations while fostering an inclusive and exceptional workplace experience that reflects the brand’s prestige and unwavering commitment to excellence. In this role, you will be instrumental in managing office logistics, coordinating various teams, and upholding the highest standards of efficiency and professionalism.
The ideal candidate will excel in managing office administrative tasks and delivering outstanding receptionist services. This position requires excellent communication skills, meticulous attention to detail, and the ability to effectively multitask in a dynamic and fast-paced environment.
Missions

Responsibilities include, but are not limited to:

  • Oversee and manage all administrative functions to ensure efficient office operations.
  • Provide general support to visitors and act as the point of contact for internal and external clients.
  • Manage vendor relationships, including office supplies, equipment maintenance, and other service providers

Commercial Mindset

  • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.
  • Coordinate with IT department regarding necessary office equipment and vendor management.
  • Manage office budgets and ensure cost-effectiveness, in partnership with department Executive Assistants.
  • Develop and implement office policies and procedures to improve efficiency and workflow.
  • Organize and schedule both meetings and appointments; manage calendars for senior management.
  • Handle office logistics, including maintenance, mailing, shipping, supplies, equipment, bills, and errands.
  • Maintain a safe and secure working environment by establishing and enforcing office policies and procedures.
  • Coordinate and assist in planning corporate events, meetings, and conferences.
  • Cross functional partnership across Louis Vuitton Americas, including our corporate and retail functions.

Profil
We are eager to speak to candidates who possess 5+ years of relevant experience in office management, executive assistance or administrative assistance. The successful candidate will demonstrate exceptional organizational and planning skills, solution-oriented mindset, attention to detail, and the ability to multitask effectively while managing their time proficiently. Strong Excel and PowerPoint skillset is highly preferred. Additionally, candidates must be available to work during evenings and weekends as required.

The appointed candidate will be offered a salary within the range of USD $100K-$115K, a comprehensive benefits package including: medical, dental, vision, short and long-term disability, various paid time off programs, employee discount/perks and two retirement plans both with employer contributions.

The position requires 4 days per week on site in the Louis Vuitton Corporate Office, located in the heart of Midtown, Manhattan.
