JOB SUMMARY:

We are seeking a highly organized and detail-oriented Medical Office Manager to oversee the daily operations of our medical practice in an assisted living setting. The ideal candidate will have experience in healthcare administration, strong leadership skills, and a commitment to providing excellent patient care through efficient office management.

QUALIFICATIONS:

  • Minimum 3 years of experience in a medical office setting; 1+ year in a supervisory role.
  • Strong knowledge of medical terminology, billing software (e.g., Athenahealth, Epic, or similar), and electronic health records (EHR).
  • Excellent organizational, interpersonal, and communication skills.
  • Ability to multitask and work in a fast-paced environment.
  • Understanding of HIPAA and healthcare compliance standards.

Responsibilities
  • Supervise and coordinate all administrative and clerical staff activities.
  • Manage patient scheduling, check-in/check-out procedures, and ensure smooth front desk operations.
  • Oversee medical billing and coding processes, including insurance claims and patient billing.
  • Ensure compliance with healthcare regulations (HIPAA, OSHA, etc.) and internal policies.
  • Maintain accurate medical and financial records.
  • Develop and implement office policies and procedures to optimize efficiency.
  • Coordinate with physicians and clinical staff to support quality patient care.
  • Monitor inventory and order medical and office supplies as needed.
  • Handle patient complaints, feedback, and service recovery efforts.
  • Train and onboard new administrative staff.
  • Prepare reports for management and assist with budgeting and financial planning.
