Our services include Naturopathic Medicine, Chiropractic Care, Acupuncture, Registered Massage Therapy, IV Therapy, Physiotherapy, and Aesthetics. We are dedicated to providing comprehensive and integrative healthcare to support our patients’ well-being.
Position Overview: We are seeking a highly organized and proactive Office Manager to oversee the daily administrative operations of our clinic. The ideal candidate will ensure the smooth functioning of our office, manage administrative staff, and maintain a welcoming environment for our patients.

QUALIFICATIONS:

  • Proven experience with financial operations, including payroll, budgeting, and reporting.
  • Proficiency in QuickBooks or similar accounting software.
  • Experience working with bookkeepers and accountants to manage financial processes.
  • Proven experience as an Office Manager or in a similar administrative role, preferably in a healthcare setting.
  • Excellent organizational and multitasking abilities.
  • Strong interpersonal and communication skills.
  • Proficiency in office management software and Microsoft Office Suite.
  • Knowledge of healthcare management systems is an asset.
  • Ability to work independently and as part of a team.
  • High level of discretion in handling confidential information.
    Working Hours: This is a full-time position. The clinic operates from Monday to Saturday, with varying shift lengths. Flexibility to work afternoons, evenings, and Saturdays is essential.

Responsibilities
  • Office Administration:
  • Organize office operations and procedures, including designing and implementing filing systems, managing correspondence, and overseeing supply requisitions.
  • Ensure compliance with company policies and procedures to maintain an efficient and safe working environment.
  • Staff Management:
  • Supervise and support administrative staff, including receptionists and assistants.
  • Coordinate staff schedules to ensure adequate coverage during clinic hours.
  • Organize quarterly staff meetings and training sessions to promote team development.
  • Patient Relations:
  • Maintain a welcoming and professional environment for patients.
  • Address patient inquiries and concerns promptly and courteously.
  • Oversee appointment scheduling to optimize clinic operations.

  • Oversee daily financial operations, including accounts payable, receivable, payroll preparation, and reconciliations.
  • Collaborate with the bookkeeper and accountant to manage budgets, financial reporting, and year-end preparation.
  • Monitor expenses and recommend cost-saving measures to improve financial efficiency
  • Facility Management:
  • Ensure the clinic is well-maintained, coordinating with maintenance services as needed.
  • Manage inventory of office and medical supplies, ensuring timely replenishment.
