Nexus-PATH is located across North Dakota and offers mental health services, outpatient clinical services, and treatment foster care.
We have an opportunity to hire a full-time Office Manager in our Fargo, ND Nexus-PATH office!
Position Summary: The Nexus Office Manager, provides high-level administrative support to the agency and board of directors, ensuring services are provided in an effective and efficient manner. This role leads by example by emulating a professional image and presence throughout agency communications with leaders, employees, families, and the board of directors.

REQUIRED EDUCATION AND LICENSURE:

  • 5+ years’ experience performing in a high-level administrative position.
  • 1+ Year working with a Board of Directors and/or board appointed committees.
  • Advanced MS Office skills including MS Word, PowerPoint, Excel and Access.
  • Valid driver’s license required. Must meet state regulating agency and Home Office driving requirements. Must pass corporate insurance eligibility standards in order to operate company vehicles.
  • Must have the ability to build strong relationships with diverse individuals or communities and understand their unique needs and challenges.
  • Must be open to meeting the cultural needs of individuals or communities, considering factors such as language, traditions, and values.

PREFERRED EDUCATION AND EXPERIENCE:

  • 3+ years experience working with a board of Directors and/or board appointed committees.
  • 7+ years experience performing in a high-level administrative position.

Responsibilities

PRIMARY RESPONSIBILITIES:

  • Supports the Executive Director with various administrative functions and tasks.
  • Manages and processes various office administrative responsibilities including communication with Marketing and Communications, ordering business cards and purchasing merchandise for the agency.
  • Creates and maintains quality customer service for reception of visitors and guests; emulates Nexus’ ICARE values and a Trauma Informed Care approach toward every client, family member and employee.
  • Facilitates travel plans and arrangements for Executive Director, foster parents and board members as needed.
  • Develops a communication strategy that facilitates sharing of information with the leadership team; ensures proactive communication of information to ensure continuity throughout the agency.
  • Establishes and maintains effective working relationship with the board of directors, by developing trust, rapport, and credibility.
  • Advises Executive Director on governance and board policy; conducts research as needed to ensure the agency is in compliance with federal and state laws and regulations.
  • Develops and administers all board of director documents; collects, collates, and creates packets for each board meeting.
  • Documents board of directors’ meeting minutes and produces accurate proceedings of the meeting.
  • Assists board members with travel arrangements, lodging and meal planning as needed.
  • Facilitates and maintains effective and efficient communication within the agency, with board members, Executive Director and leaders; tailors communication according to the situation.
  • Attends and participates in staff, committee or other agency meetings; prepares, composes and distributes meeting agendas, meeting minutes and other communication as needed.
  • Drafts and edits internal communication consistent with Nexus mission, ICARE values and trauma informed care philosophy and approach.
  • Acknowledges, understands, and maintains the integrity, privacy and confidentiality of all agency employees, youth and families when working with confidential information.
  • Attends and participates in staff meetings, trainings and special projects as assigned; understands and supports Nexus’ philosophy and treatment modalities.
  • Understands and abides by Nexus policy and procedure and HIPAA and COA guidelines as it relates to performing all work and interacting with agency employees, leaders, families, and youth.
  • Understands and supports the Nexus philosophy and treatment modalities.
