Job Summary: The incumbent of this position is responsible for supervising and providing day-to-day services; to include clinical needs of consumers and meeting all program requirements established by Dept. of Mental Health and/or other governing entities.    Essential Job Functions:  * Maintains a professional and high quality service oriented environment at all times * Undertakes full responsibility for ordering all office supplies for the children’s department * Ensures security, integrity and confidentiality of data * Co-ordinate schedules appointments and bookings * Provides assistance in completing registration information for new and annual appointments * Handles all incoming and outgoing mail * Maintains and manages all employee mailboxes * Manages scheduling of conference rooms in children’s building * Oversees the input of DLA20 data in Cimor * Manages compliance of treatment plans and assessments * Manage maintenance reports of transportation vehicles for the Children’s Department * Monitors annuals for children in the outpatient and rehab program * Organizes and managed the grid of all children in the outpatient program * Develop training manual for all front desk personnel * Supervise front desk and records staff at children’s building and 909 building * Oversees the day to day operations of the children’s clinic * Ensures oversight of cleanliness of the facility * Continuously monitors premises to ensure that all safety and sanitation requirements are being maintained * Conducts quarterly audits of medical records for adherence to compliance standards and all necessary documentation on all aspects of community support as it relates to individual clients including the quality of progress notes, initial assessments, service plans, transfers, etc. * Leads scheduled staff meetings and develop staff within the program * Demonstrates interest in long term and short term goals and objectives of the company * Other duties as assigned    Minimum Education, Training and Experience  * Bachelor's degree in business administration, communications, or a related field * 4 years of employment history in mental/behavioral health * 4 years of leadership experience * Effective communication skills   Additional Requirements:  * Knowledge of the policies, procedures, and regulations of the program to which the employee is assigned * Detailed knowledge of the problems encountered by persons with mental illness in resigning in the community and how to access the various community resources available. * Aptitudes to develop, coordinate, and evaluate services within assigned program responsibilities * Capability to communicate ideas clearly and effectively to produce clear and concise reports   Supervisory Requirements:  * Provide leadership and guidance to all aspects of front office and HIM staff * Take an active role in monitoring the identification, development, and execution of strategic objectives * Involve, as appropriate, all employees in order to achieve goals * Effective communicate to employees any changes within the department of company to all employees to ensure practice * Handle difficult personnel situations directly, using appropriate discretion and Human Resource advice to show respect for the individual * Champion change and effectively manage the implementation of new ideas * Reinforce team approach throughout functions
