We are partnering with a small insulation/construction business looking for an experienced and versatile Office Manager to join their team. The ideal candidate will possess a solid understanding of office principles, be highly organized, proficient in basic bookkeeping/accounting functions, have excellent communication skills, and the ability to handle a variety of tasks simultaneously.

QUALIFICATIONS:

Proven office management or administrative experience.
Proficient in Microsoft Office Suite and Google applications, with experience in QuickBooks or another accounting software.
Effective communication skills, both verbal and written. Bonus if Spanish speaking!
Strong organizational skills, attention to detail, and ability to multi-task.
Understanding of general bookkeeping/accounting principles.
Excellent problem-solving skills and strong decision-making abilities.
High level of self-responsibility and trustworthiness.
Driven for continual improvement to move self and business forward.

Responsibilities:

Administer data entry tasks between scheduling systems and Google Sheets.
Manage general bookkeeping/accounting duties, including credit card reconciliation, payroll assistance, and depositing checks.
Liaise with CPA for monthly financials, coding expenses and ensure check-invoice matching.
Generate and pull reports out of QuickBooks.
Manage invoicing to customers, pay bills, and manage other financial transactions.
Assist in building Standard Operating Procedures (SOPs) and maintaining documentation.
Facilitate material purchases, handle short-term projects, and update sales sheets with permits.
Handle customer service responsibilities, including answering phones, responding to emails and liaising with answering service.
Research and collate relevant information for the business.
Delegate lead generation activities through avenues like checking city websites for permits.
Oversee executive assistant duties such as managing the owner’s email, calendar management, and decision prioritization.
