THE ROLE As our Office Manager, you will be the linchpin in enhancing our workplace experience. This role is for someone who is passionate about creating an exceptional environment for every Shippster and visitor alike. Your knack for organising unforgettable events, managing a dynamic office space, and driving initiatives that foster inclusivity and recognition will be key in sculpting the ultimate workplace experience. DAY TO DAY Office Management Oversee the maintenance of an inviting office space that exceeds the comfort of home, ensuring it's well-stocked, functional, and vibrant. Liaise with building management to ensure any issues are escalated and resolved in a timely manner. Collaborate closely with IT for seamless integration of facilities or equipment that enhances the Shippster experience and coordinate special projects, including potential ice relocations. Act as the ambassador of our workspace, setting a welcoming atmosphere for visitors, merchants, couriers, and team members in a manner that reflects our core values and culture. Actively manage the appointed fire wardens and first aid wardens for the Sydney office. Hold quarterly meetings with all wardens to ensure Work, Health & Safety risks are effectively mitigated and warden training is up to date. Team Events & Engagement Spearhead the comprehensive in-office events agenda from planning to execution and communication, creating buzz around activities like Tuesday lunches, Monthly gatherings, fitness challenges, annual celebrations, half yearly Summits, Sales Initiatives, and the Annual Hackathon (Shipfest). Work in sync with leaders to organise team offsites. Company Communication & Employee Recognition Administer company recognition initiatives supported by the People team that amplify our work culture, including but not limited to celebrating birthdays, work anniversaries, and special acknowledgments for dedicated Shippsters. Perfect the onboarding journey for new members, conducting comprehensive weekly office orientations, distributing swag packs, and handling merchandise. Coordinate monthly All Hands meetings and maintain steady internal communication streams like significant employee milestones. Executive Support Handle executive team support needs as they arise, ensuring seamless coordination and communication. Facilitate executive travel arrangements and manage the travel booking platform Navan. WHAT YOU BRING Proven experience within office management and event planning, or a similar role within a fast-paced environment. Strong organisational skills with an ability to prioritise important projects and multitask with ease. Stellar communication skills, exuding enthusiasm and professionalism.
