The Role: Rakuten Kobo Taiwan is looking for an Office Manager to join our Facilities team. This role will be a part-time position working 20-30hrs a week, in-person contract (1 year). The team is comprised of many highly talented enthusiastic individuals who ensure the services and offerings from Kobo are available to both internal and external customers. The Office Manager is responsible for providing effective and efficient administrative and logistical support in a dynamic role within Kobo Taiwan. Reporting to the Facilities Manager, you will support the overall function of the Taiwan Office, as well as provide support to the country manager. You will support the implementation and coordination of office policies and procedures to ensure organizational effectiveness, efficiency and safety for the office. You will assist with coordinating intra-office communication protocols and support the streamlining of the administrative procedures assigned by the Facilities Manager. To succeed, the ideal candidate will need to be an organized, energetic professional who can wear multiple hats and work independently with minimal direction. Requirements: 1-3 years of professional experience in Office Services/Management, Front Desk, or relevant administrative support role A commercial education or equivalent professional experience in the mentioned areas of responsibility Demonstrated ability to manage time effectively, multi-task, prioritize work, and maintain strong organizational and planning skills Ability to work independently, take initiative, and adapt quickly in a dynamic, international, and ever-changing work environment Excellent written and verbal communication skills in both local language and English, with the ability to communicate clearly, confidently, and effectively with all levels of staff and external vendors Strong problem-solving skills combined with a high attention to detail Confident and effective handling of Microsoft Office applications (Word, Excel, PowerPoint, Outlook) Ability to be flexible with working hours when required by operational needs Responsibilities: Oversee and support daily administrative and operational tasks, serving as the primary point of contact for all office-related matters to ensure a smooth, efficient, and productive environment. Manage the procurement, inventory, and maintenance of office supplies, equipment, and facilities, including minor repairs and coordination with external vendors for specialized services (e.g., repairs, printing, catering). Handle all incoming and outgoing mail, packages, and general correspondence in both local language and English. Coordinate and manage all aspects of meetings, bookings, and company events, including room setup, scheduling, and logistical planning for internal activities and celebrations, during normal hours or after hours, if needed. Assist with new employee onboarding, provide support for various HR-related administrative tasks, and manage specialized employee resources (e.g., e-readers, festive gifts), including distribution and maintenance. Liaise effectively with internal departments and a diverse range of external partners, including vendors, service providers, and the landlord. Ensure adherence to local regulations and company policies, meticulously maintaining accurate and comprehensive records for compliance and audit purposes. Participate in regular 1:1 meeting with HQ to discuss feedback, address challenges, and align on priorities. Undertake any other duties as assigned to support the overall success of the office and team.
