Role Description This full-time Office Manager role is a hybrid position based in Montreal, QC, with a combination of on-site work and some work-from-home flexibility. The Office Manager will oversee daily office operations, including managing schedules, coordinating appointments, maintaining office supplies and equipment, and organizing documents and records. This role will handle incoming calls and emails, provide responsive customer service, and support field teams with logistics and administrative tasks. The Office Manager will assist with invoicing, basic reporting, and data entry, while helping to improve office processes and ensure smooth communication across the organization.

Qualifications

  • Strong Communication skills, including clear verbal and written communication and professional phone and email etiquette.
  • Administrative Assistance and Office Administration skills, with experience managing calendars, records, and general office workflows.
  • Ability to operate and maintain Office Equipment, such as printers, scanners, and communication tools.
  • Customer Service skills, with a focus on empathy, problem-solving, and timely follow-up.
  • Excellent organizational skills, attention to detail, and ability to prioritize multiple tasks.
  • Proficiency with common office software (e.g., word processing, spreadsheets, email, and scheduling tools).
  • Ability to work independently and collaboratively in a hybrid environment and maintain confidentiality.
  • Previous experience in an office management or administrative role; experience in service-based or environmental/health-focused businesses is an asset.
  • Comfort working in a small, growing company and adapting to evolving processes.
  • Fluency in English; French language skills are an advantage in the Montreal market.
