The way we work together matters just as much as the product we build.  Job Overview  The Office Manager plays a key role in supporting Tombot’s operations and workplace environment. This position is responsible for managing day-to-day office operations, supporting executive leadership, coordinating recruiting logistics, and helping create a workplace where employees can do their best work.  This role owns the overall function of how the workplace runs. That includes keeping daily operations organized, ensuring employees have what they need to be effective, and solving operational problems as they arise.  The ideal candidate is highly organized, proactive, and comfortable rolling up their sleeves to solve problems ranging from vendor coordination to improving workspace layout.  Responsibilities   Office Operations & Workplace Management  * Ensure daily office operations run smoothly between Tombot’s workplaces, maintaining an organized, functional, and welcoming environment for employees and visitors.  * Identify operational issues early and drive resolution by coordinating with internal teams and vendors until the issue is fully addressed.  * Manage relationships with building management and service providers (maintenance, cleaning, security, etc.), ensuring issues are resolved quickly and service quality remains high.  * Partner with the Director of IT to ensure the office environment supports collaboration, product development, and reliable technology infrastructure.  * Coordinate onboarding logistics, office deliveries, and operational documentation to support day-to-day business operations.  * Plan and coordinate workspace layout, furniture installation, office improvements, and supply management to ensure employees have the tools and environment needed to work effectively.  * Roll up sleeves when needed to assemble furniture, troubleshoot office issues, and help keep the workspace running smoothly.  * Plan and execute occasional employee functions to support Tombot’s positive work environment.  * Handle and prioritize support requests from multiple sources.  Recruiting & Candidate Experience * Partner with HR to manage the hiring process, ensuring a positive candidate experience.  * Coordinate interview scheduling between candidates and hiring managers to ensure a smooth and organized hiring process.  * Welcome candidates visiting the office, provide tours, and ensure a positive first impression of Tombot’s mission and culture.  Executive Support  * Provide administrative support to the CEO; tasks include but are not limited to calendar and travel scheduling, coordinating meetings, and helping track follow-up actions.  * Support operational priorities by helping organize communication, materials, and other logistics.  Required Qualifications  Education and Experience  * Degree in Business Administration, Operations Management, Hospitality Management, or equivalent practical experience.  * 3+ years of experience in office management or operations roles with progressive responsibilities.  * Experience managing vendors, office facilities, and team environments.  Skills and Competencies  * Strong organizational and coordination skills.  * Ability to manage multiple priorities in a fast-moving environment.  * Strong written and verbal communication skills.  * Ability to proactively identify and solve operational problems.  * Professional presence when interacting with others, especially candidates, visitors, and vendors.  * Willingness to be hands-on when the work requires it.  * Comfort with working independently and in a team environment, as appropriate.  Preferred Qualifications  * Experience managing office moves, expansions, or facility transitions.  * Experience working in a startup or fast-growing company.  * Experience coordinating recruiting logistics.  * Experience supporting executive leadership.  Work Environment and Physical Requirements  * Ability to move throughout office environments and coordinate facility operations.  * Ability to occasionally lift up to 30 pounds when handling office supplies or furniture.  * Ability to assemble and operate standard office equipment and workplace furniture.  * Travel may be required up to 5% depending on business needs.  * Must have own transportation to travel for office related errands, as needed.  Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.  Compensation & Benefits  Final compensation will be determined based on experience, skills, internal equity, and market factors. The hourly range for this role is expected to be between $35.00 and $45.00 per hour.  Benefits include comprehensive medical, dental, and vision coverage for employees and dependents.  Workplace Model & Collaboration Expectations  Tombot is currently an in-office organization. We believe that real-time, in-person collaboration supports innovation, strengthens cross-functional partnership, and enables the rapid iteration required to build complex, human-centered robotic products.  Team members are expected to work onsite at our Santa Clarita, CA office during standard business hours (though occasional extended hours may be required to meet project deadlines or product development milestones). While we support flexibility for personal appointments and individual needs and have Flexible Fridays where employees may choose to work remotely on Fridays; our work is primarily designed to be performed in person to support teamwork, communication, and product development success.  We recognize that flexibility is important and encourage open communication with managers to support reasonable scheduling needs while maintaining our collaborative, onsite-first culture.  Work Authorization  Applicants must be authorized to work in the United States. Tombot does not currently provide employment visa sponsorship.   Tombot participates in E-Verify to confirm work authorization.
