We are now seeking a dedicated Office Manager to join our team and contribute to the continued success of our operations.

JOB SUMMARY

The Office Manager will oversee daily office operations, ensuring efficiency and organization across all administrative and financial processes. The ideal candidate will be bilingual in English and Spanish, detail-oriented, and proficient in Microsoft Office/365, QuickBooks, and SURI for shipment excise tax (arbitrios). Knowledge of shipping and logistics is a strong plus. This role also requires punctuality, responsibility, and flexibility to occasionally work on Saturdays or holidays.

REQUIREMENTS

  • Previous experience in office management or administration
  • Bilingual in English and Spanish (spoken and written)
  • Proficiency in Microsoft Office/365 and QuickBooks
  • Experience with SURI excise tax filings
  • Basic knowledge of shipping/logistics (preferred)
  • Strong organizational and multitasking abilities
  • Excellent communication and teamwork skills
  • Punctual, responsible, and detail-oriented
  • Availability to work some Saturdays and holidays
  • Valid driver’s license and personal vehicle
Responsibilities
  • Supervise daily office operations and maintain efficiency
  • Manage schedules, communications, and documents for management and staff
  • Handle bookkeeping, invoicing, and reporting using QuickBooks
  • Process SURI excise tax filings for shipments
  • Make bank deposits and manage petty cash
  • Collect and deliver mail and packages at the post office
  • Coordinate with vendors, suppliers, and shipping providers
  • Support payroll and general administrative processes
  • Maintain organized filing and record systems
  • Provide bilingual support (English/Spanish) for clients, vendors, and staff
  • Assist with company events or activities as needed
