The duties and responsibilities of the Office Manager include actively supporting the core values, mission statement, vision and various ministries of Waiokeola Congregational Church.
This involves managing the business operations of the church, handling the day-to-day operations, managing office and facilities, communicating with parishioners, managing volunteers, assisting with financial management, organizing events, and supervising staff.
Supervisor
The Office Manager reports to the Waiokeola Church Council or their designated appointee.
Position Description
This full-time position provides for the overall administration of the church and its ministries – which include Waiokeola Preschool and Mom’s Time Off (MTO) Programs. The Office Manager shall carry out the position’s duties and responsibilities in accordance with the Church’s commitment to the Christian faith and ministry.
The Office Manager provides administrative support to the Director and office staff of the Preschool and MTO programs. The Office Manager assures the coordination of financial planning and accounting, proper vendor and contract management policies and procedures, and facility/plant maintenance and repair.
Duties and Responsibilities of the Office Manager
I. Office Management – Church Office Administration
a. Insure smooth operation of the church office
b. Keeps the master church schedule/calendar for use of the sanctuary and campus facilities to prevent scheduling conflicts
c. Meet regularly with staff members to coordinate and support them in assigned areas of responsibility
d. Arrange for annual performance reviews for each staff member
e. Assist in preparation/review of job descriptions
f. Maintain proper employment files
g. Maintain and recommend updates to policies
h. Manage outside vendors
i. Oversee IT systems and vendors including the phone system, internet, website, copiers, fax machines, fire alarm system, and audio/visual equipment
j. Maintain asset inventory lists and update capital reserves as required
k. Oversee administration of church insurance policies and ensure adequate coverage
l. Do an annual safety check of the campus coordinating with our insurance agent
II. Financial Responsibilities
a. Supervises, monitors, and coordinates the accounting services for our ministries
b. Supports the Treasurer of the Waiokeola Church Council, as needed
c. Supervises the payroll administration for all employees
d. Assist with development of the annual Church, MTO, and Preschool Budget for presentation for Church Council approval.
e. Monitor financial transactions
f. Provide financial reports to Church Council in coordination with accounting services
III. Manage Church & Preschool Facilities
a. Manage maintenance of buildings and grounds
b. Coordinate all capital improvements on the Church campus
c. Ensure that Church property and premises are secure during work hours and that all entrances are locked at end of each business day
IV. Maintain Relationships
a. Assures access to archives, recordings, and other documents related to Church services and public meetings
b. Manages the church’s website, newsletter, magazine, bulletin, announcements and other publicity in coordination with the Church Council Communications Chair
c. Assures reasonable access to Church and Preschool management/staff

Required Knowledge, Skills and Abilities

  • Demonstrates excellent interpersonal and positive leadership skills
  • Displays strong verbal and written communication skills
  • Demonstrates high-level managerial, organizational, and administrative skills
  • Able to propose and implement projects in coordination with the appropriate stakeholders
  • Exhibits strong technological abilities and has knowledge of computer programs such as Microsoft Office
  • Basic knowledge general office/computer equipment
  • Demonstrates knowledge of and is able to apply standard bookkeeping skills and accepted accounting practices
  • Meets various deadlines associated with publications and finances
  • Ability to create an atmosphere of camaraderie and teamwork
  • Has knowledge of and supports the church’s mission statement, beliefs and commitment

Education and Experience

  • Bachelor’s degree in business administration or management, or minimum of 5 years working in business management at the supervisory level.
  • Experience working in a church office, preferred
  • Clean Background Check

Work Environment

  • Works regular hours of 8 a.m. to 5:00 p.m. Monday through Friday with flexible availability based on programs and activities. Monthly council meetings are often held on Sundays
  • Able to sit or stand for extended periods of time outdoors or in a climate controlled office environment
  • Able to lift up to 25 lbs

Job Type: Full-time
Pay: $55,000.00 - $70,000.00 per year
