As an Office Manager at Watermelon, you will support the efficient functioning of our company by assisting with all operational tasks.

We’re a fast-growing AI software company on a mission to build powerful, human-centric technology—and we’re looking for an Office Manager to keep our operations running smoothly and our people supported and empowered. As a small but ambitious team, we wear many hats, and we’re looking for someone who thrives in a dynamic environment. In this hybrid role, you’ll be the glue that holds our day-to-day operations together while also supporting some HR functions that are foundational to our growth.

WHO WE ARE LOOKING FOR

  • You are proactive, resourceful, and highly organised with strong time management skills.
  • You have at least 1 year of experience in an Operations/Administration role, ideally in a B2B SaaS environment.
  • You are comfortable working with HR tools like NMBRS, Homerun and Notion, or willing to learn.
  • You have excellent communication skills in both written and verbal English.
  • You thrive in a dynamic, fast-paced startup environment and are eager to take initiative.
  • You are detail-oriented and precise, ensuring tasks are completed with accuracy.

Responsibilities
  • Proactively assist in operational tasks to ensure smooth day-to-day business activities.
  • Process invoices, receipts, and expense claims in relevant systems.
  • Manage office supplies, groceries, and ensure a comfortable and welcoming office environment.
  • Support people and operations projects, such as creating procedure manuals or organising team events.
  • Maintain and update software tools like NMBRS, Zenvoices, Notion, Cledara and Homerun.
  • Handle all on- and off-boarding processes for new hires and leavers.
  • Support recruitment, including posting vacancies, screening candidates, and scheduling interviews.
