Description Summary The Office Manager plays a critical role in keeping the Dallas office operating smoothly and efficiently. This position owns the daily operational rhythm of the office, supports dealer account performance, and leads a small administrative team. The Office Manager works closely with Sales Executives, Floorplan Specialists, and leadership to ensure financial accuracy, compliance, and a high level of service for dealer partners. This role is ideal for someone who thrives in fast paced environments, takes ownership of details, and enjoys being the steady operational backbone of a growing organization. Responsibilities Dealer Accounts and Performance · Oversee dealer accounts · Review and act on payment alerts daily · Call dealers that have not floored inventory in a certain time period · Help increase performing accounts Financial Operations and Reporting · Ensure payments are posted daily · Monitor and contact accounts office staff are having difficulty contacting or collecting on. · Oversee daily deposit processes to ensure consistency and compliance in timely manner. · Oversee title handling processes and documentation Team Leadership and Office Operations · Manage and support a team of three to four employees · Provide day to day guidance, coaching, and accountability · Address conflict professionally and consistently · Maintain strong customer service standards with dealers and internal teams · Order and manage office supplies · Coordinate sale day lunches with Sales Executives · Ensure the office environment remains organized, professional, and efficient Requirements · Three or more years of experience in automotive, finance, floorplan lending, dealership operations, insurance, warranty sales, or related financial services · Previous experience leading or supervising a small team preferred · Strong understanding of dealer accounts, receivables, deposits, and title processes · Highly organized with strong attention to detail · Ability to manage competing priorities in a fast paced environment · Clear and professional communicator with strong customer service skills · Comfortable handling sensitive situations and managing conflict · Proficient in Microsoft Office and financial or dealer management systems
