POSITION SUMMARY

The Operations Assistant provides critical administrative and logistical support to ensure the daily operations of HomeMD Housecall Services run smoothly. This role helps maintain an organized, efficient, and welcoming environment while supporting our remote team delivering compassionate healthcare to seniors in assisted living facilities across Michigan. The Operations Assistant will work closely with internal departments to coordinate supplies, equipment, and communication between the main clinic and field staff.

QUALIFICATIONS

  • Associate degree or equivalent work experience in administration, operations, or office support
  • Previous experience in an administrative, logistics, or operations support role preferred
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Comfortable with light lifting (e.g., moving supply bags or packages under 25 lbs)

Responsibilities

Office & Operations Support

  • Manage all incoming and outgoing mail, packages, and faxes
  • Deliver, pick up, and ship supplies, equipment, badges, and onboarding materials to staff across the state
  • Order and maintain inventory of office and clinical supplies
  • Keep the office organized, clean, and fully stocked
  • Coordinate with vendors for facility needs such as cleaning, maintenance, and deliveries
  • Track and document incoming and outgoing deliveries and shipments

Administrative Support

  • Answer phones and respond to office-related emails
  • Support document filing, data entry, and report preparation as needed
  • Act as a point of contact for staff or visitors coming into the office
  • Assist with small projects such as updating spreadsheets or printing materials

Onboarding & Internal Coordination

  • Prepare onboarding kits, badges, business cards, and welcome materials for new hires
  • Organize and distribute staff swag and supplies
  • Support communication between teams regarding supply needs and office updates
  • Maintain accurate records of employee-related supplies and office inventory

Technology & Equipment Logistics

  • Assist in shipping, tracking, and documenting technology equipment for staff
  • Coordinate with IT to address minor office tech needs or escalate support issues
  • Maintain logs of equipment assignments, returns, and cleaning
