SUMMARY

Responsible for overseeing the daily operations of the Racine office locations and supervision of the Administrative Services functions and team. Ensures that quality customer service is provided internally and externally as supportive role to all employees and external clients, vendors, and suppliers. Oversees the daily functions of the Administrative Services department, manages department staff, hires, and trains new employees, and monitors staff performance. Relies on experience and judgment to plan and accomplish goals efficiently and utilizes external resources and vendors accordingly. Position requires strict confidentiality of dealing with confidential matters or sensitive material. Handles a wide variety of work requests, which could change day to day. May be provided with project related work which entails conducting research, preparing data and/or reports, and a variety of information requests.

QUALIFICATIONS

  • High school diploma required; associate or bachelor’s degree preferred.
  • Prior similar role experience strongly preferred.
  • Advanced verbal and written communication skills.
  • Advanced PC skills with demonstrated knowledge and application of Word, Excel, and PowerPoint.
  • Excellent organizational skills with the ability to prioritize and handle detail with accuracy and reliability.
  • Ability to multi-task
  • Leadership ability to manage challenges and oversee employees.
  • Ability to act with a sense of urgency and attention to detail with all assigned tasks.
  • Ability to function with flexibility as required and when necessary.

    Position is located in Racine, WI with a 2 day per week in-office requirement
Responsibilities
  • Schedules meetings as requested by Executive Team members and as requested by manager; coordinates meetings and sends out invites to participants; works with IT for set up if needed for company-wide related meetings.
  • Supervises the Administrative team members; ensures processes are followed; ensures workload is divided and the department is staffed; accordingly, hires and trains new employees; monitors performance of staff.
  • Ensures that the highest quality of customer service is being provided both internally and externally.
  • Ensures that department processes are documented, and staff are cross trained.
  • Ensures department files are organized and easily accessible.
  • Troubleshoots issues as they arise and assist with problem-solving.
  • Functions as a role model for positive customer service and embraces the nature of operating in a support function of the company, which entails various requests that may be asked of the team to support.
  • Maintains contact with outside vendors within line of site (housecleaning service, travel agency, building maintenance vendors), monitors vendor relationship and ensures appropriate service is being adhered to.
  • Functions as main contact for building maintenance related activities – fire/sprinkler/HVAC inspections, insurance building inspections, Washington Properties, etc.)
  • Relies on experience and judgment to plan and accomplish goals efficiently and utilizes external resources and vendors accordingly.Maintains efficiency with prioritizing and answering email communications and voicemail messages.
  • Uses sound fiscal judgment when making purchases for the company by doing pricing research and ensuring we are not making unnecessary purchases, such as with office supplies. Communicates appropriately if pricing changes and obtains approval prior to purchase. Tracks credits when applicable.
  • Identifies matters of a routine nature and uses his/her discretion to manage situations proactively.
  • Performs advanced word processing and spreadsheet applications, prepares letters, memos, reports, proposals, etc. as requested.
  • Handles highly confidential and sensitive information in a professional manner.
  • Coordinates and works with the administrative team when event planning is required (food planning, meeting set up and organization, gift buying for employees or retirees, etc.)
  • Performs annual duties as requested – populating new year holidays on employee calendars, ordering service awards, etc.
  • Independently researches, collects, and compiles documents and data for any requests, selecting data from various sources. Reviews documents, forms, or other materials for accuracy and required completeness according to instructions. Updates and distributes as requested.
  • Travels locally minimally and if requested or needed.
  • Functions with a high degree of integrity and professionalism.
