We are recruiting for the role of ’Office Sales Admin & Production Support’ to join our dedicated and talented team.

EXPERIENCE

  • Previous experience in an administrative role is preferred but not essential.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is required.
  • Excellent written and verbal communication skills are essential for effective interaction with colleagues and clients.
  • Strong organisational skills with an ability to prioritise tasks effectively.
  • A keen eye for detail and accuracy in all work produced.
  • Attention to detail.
  • Organised and methodical approach to tasks.

Responsibilities
  • To assist in the Administration of the office in compiling organising and storing records.
  • To deal with customers predominantly over the phone, but also in person when customers visit the site, providing a high standard of customer service at all times.
  • Communicate with customers, liaise with design, adjust and amend specifications as necessary to satisfy the customer and prepare the quotes for jobs using the tools and training provided.
  • Following up on quotes, generating business from speculative enquiries, and even cold calling to ensure sales are being entered in the order book to meet targets.
  • Processing orders and payments and generating the appropriate tickets and paperwork for accounts records production print and dispatch / HSP as required to maintain our quality management system.
  • Dealing with suppliers and service providers to help assist the smooth running of the business and ensuring production is supplied sufficiently.
  • Processing the P tickets of finished and dispatched jobs for invoicing, and preparing the weekly billing, also updating records and assisting accounts with ensuring stock has been booked and accounted for by scanning records needed for this through to head office.
  • To learn about not only our products but the different industries we supply to provide intelligent knowledgeable and professional service for our customers.
  • Assist in other workshop and factory roles when the need arises due to high demand or holiday cover or a change in usual demand, to ensure efficient use of time and labour resources to keep the business as economical as possible.
  • To liaise with colleagues regularly to ensure we are working to our production schedule, and be in a position to keep customers updated of any changes necessitated by alterations imposed unexpectedly.
  • To work with head office in dealing with issues involving I.T. H.R. or finance using the tools and systems in place.
  • To assist in the preparation for audit of records to assist financial or ISO 9001 auditors visiting the site directly or remotely to ensure compliance.
  • To keep records for tender application schedules, usual order schedules to assist chase lists, Corrective action logs for any complaints, and debtors listings to ensure we are not putting orders out to non-paying customers.
  • To assist the office in regular stock checks as well as ensuring accounts has accurate monthly and yearly balances of stock.
  • To assist on any other necessary tasks required for the safe and efficient running of Felthams & Ness at the Witchford site.
