Job Title: Office Secretary
Job Description:
We are seeking a detail-oriented and proactive individual to join our team as an Office Secretary. In this role, you will be responsible for providing administrative support to ensure efficient operation of the office, as well as offering beverage service to clients and guests.
Responsibilities:
1. Administrative Support: Perform general clerical duties to support office operations, including answering phones, managing correspondence, scheduling appointments, and organizing meetings.
2. Client Beverage Service: Greet clients and guests with a warm and professional demeanor, offering them a selection of beverages such as coffee, tea, water, or juice. Ensure that beverage stations are stocked and maintained throughout the day.
3. Hospitality: Provide exceptional customer service by anticipating the needs of clients and guests, offering assistance as required, and ensuring their comfort during their visit to the office.
4. Office Maintenance: Assist with maintaining a clean and organized office environment, including tidying up common areas, restocking supplies, and coordinating with the cleaning staff.
5. Record-Keeping: Maintain accurate records of beverage inventory, client preferences, and office supplies. Assist with ordering supplies as needed to ensure adequate stock levels.
6. Team Collaboration: Collaborate with colleagues to support various projects and initiatives, demonstrating flexibility and a willingness to assist wherever needed.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration or hospitality is a plus.
- Proven experience in a similar role, with strong administrative and customer service skills.
- Excellent communication and interpersonal abilities, with a friendly and professional demeanor.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Attention to detail and strong organizational skills.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other office software.
- Knowledge of basic beverage service etiquette and techniques is desirable.
