Responsibilities

ROLE OVERVIEW

We are currently looking for an Office Services Supervisor to join our Operations team in Manchester. The successful candidate will liaise with the UK Office Services Manager to ensure the efficient operation of the office. They will be responsible for procuring all Office Services, as well as maintaining accurate records and ensuring compliance with all regulatory requirements. The role will also include an element of line management responsibility within the team.

KEY RESPONSIBILITIES:

  • Liaising with staff and clients
  • Co-ordinating with various contractors and suppliers
  • Ensuring the office remains presentable and always fit for purpose in all respects
  • Delivering training to team members and ensuring that staff are given the skills needed to successfully carry out their role.
  • Coach and develop your team, including probations, performance reviews, annual appraisals, mid-year reviews, setting objectives and regular one to ones
  • Report any relevant information and issues to the front of house supervisor and designated facilities management team.
  • Administrative duties which include but are not limited to the following:
  • Invoicing and spreadsheets
  • Stationery orders
  • Office supplies / refreshment orders
  • Long term planning for functions
  • Arranging payment of invoices where applicable
  • Assist with office moves
  • Overseeing meeting room support requirements
  • Maintaining records and documentation in accordance with legislative requirements, office health & safety policies, permits and assessments.
  • Daily kitchen upkeep, stock check, replenishments etc
  • Assist with processing, distribution and despatch of inbound and outbound mail
  • Receive and welcome visitors, liaising with Hill Dickinson hosts and offering hospitality as directed.
  • Answer and redirect calls on switchboard (both internal and external) as per the Hill Dickinson telephone standard (as and when needed)
  • Maintain visitor log and issue visitor passes
  • First aider
  • Maintenance of daily holiday lists
