JOB SUMMARY

This position will work in the Department of International Studies and Postdoctoral Services to provide administrative support as needed to the AVP and IPSO staff.

REQUIRED QUALIFICATIONS

Associate’s degree from an accredited college or university OR High School diploma, GED, or equivalent from a recognized State or Federal accrediting organization and a minimum of four years of progressively responsible office support experience.

PREFERRED QUALIFICATIONS

Experience working with International communities or living abroad.

KNOWLEDGE

Proficient in Microsoft Office and other computer software/databases

Detail-oriented with strong organizational, prioritization, and multi-tasking skills
Excellent interpersonal, verbal, and written communication skills

ABILITIES

Ability to maintain confidentiality

Responsibilities

The duties include, but are not limited to:
GENERAL OFFICE DUTIES: Provides administrative support to four full-time professional staff. Maintains appointment calendars and schedules meetings with faculty, staff, students and external visitors. Answers phone, opens mail, copies documents. Communicates verbally and in writing with faculty, students, staff, department leadership and other agencies as needed. Maintains department email account.
SYSTEMS PROCESS: Provides basic Sunapsis support to customers including running reports, sending emails about login issues and scheduling training. Uploads scans of H-1B petitions to records before mailing & populates the ‘Employment Summary’ screen with mailing date and other details. Uploads scans of receipt and approval notices from USCIS, EAD cards, etc. and sends notification to clients (through Sunapsis) of these documents. Assists with scheduling & sending invitations for regular trainings for new Sunapsis users and Refresher trainings for current users.
SCHEDULING: Assists with appointment process for all postdoctoral fellows by providing administrative support related to the recruitment and retention of Postdoc fellows including maintaining postdoctoral fellow personnel appointment files.
EVENTS: Assists in planning and implementation of international community events
VISA PROCESSING: Maintains international services files F, J, H, TN, O and permanent residency. Coordinates storage of files with Augusta data storage.
OTHER DUTIES: All other job related duties as assigned.
