EDUCATION QUALIFICATIONS

  • High School graduate or equivalent required or
  • One year of college or business school preferred

EXPERIENCE QUALIFICATIONS

  • 1-2 years of experience preferred

Responsibilities
  • Manage Office Support Associates by being proficient in day to day operation including but not limited to patient scheduling, phone operations, medical records, provider order compliance, and assists as needed
  • Manages and tracks provider order compliance, including but not limited to Hospital EMR upload process, Order Vendor process, follow up/tracking tasks which may involve provider office visits.
  • Manages and tracks payroll process, call out entry, mileage/drink reimbursement, continuing education and on-call sheets for timely entry and accuracy.
  • Manage and process payment requisitions from vendors, with leadership oversight.
  • Manage employee database (including phone list, vendor logins). Will monitor timely renewal of personal requirements including but not limited to CPR, DMV placards, licensure and insurance. Ensures updated copies of credentials, certificates and other pertinent Employee file data
  • Participate in new hiring onboarding, including but not limited to vendor access, distribution of electronic devices, distributions of clinical supplies & security access/ID badge.
  • Composes and generates forms, labels admission folders, meeting minutes, letters, memos and other correspondence as requested by leadership, providers, healthcare facilities, vendors and credentialing entities.
  • Assist with coordination of department meetings, including handling of logistics (date, meeting location, catering), creation and distributions of reminder notices, agenda creation, drafting of minutes, filing of approved minutes and collection/duplication of agenda materials
  • Manage and coordinate ordering of clinical supplies, marketing supplies, office supplies and kitchen supplies.
  • Manage and ensure working order of all administrative functions in the office
  • Manage and coordinate office repairs and equipment requests
  • Manage vendor relationships including contracts and correspondence.
  • Coordinate and/or assist in the completion of departmental mail sorting and distribution. Manage department filing and archiving system.
  • Completes a broad variety of administrative tasks for the Director of Home Care and Quality & Education Team.
  • Maintain working knowledge of general Home Care regulations, and hospital policies, and work to ensure the department compliance with the stated parameters
  • Maintain working knowledge of Joint Commission standards to provide effective support to the department, medical staff and HNMC leadership as needed
  • All other duties as assigned which are necessary for the efficiency of the Department
