Description As the face of our corporate headquarters, the Office Support Specialist is responsible for providing welcoming, efficient, and professional experience to our customers, visitors, and employees. In addition, this position supports daily operational functions across departments through administrative assistance, logistical coordination, and attention to detail, helping to maintain the smooth operation of the office and uphold the Bank’s commitment to excellence. Essential Functions: Maintains a tidy and inviting reception area Greets and provides professional, courteous and efficient service to all internal and external customers Manages incoming calls, including screening, forwarding, and taking messages with a high degree of professionalism and confidentiality Facilitates the On Boarding process for our customers who use Open Anywhere Responsible for our safe deposit access and closing process which will include scheduling appointments for drilling as needed Creates replacement debit cards as needed Receives CD instructions for renewals- ability to discuss interest rates and yields Handles mail, deliveries, including sorting, distributing incoming mail, and preparing outgoing mail Assists customers in accessing safe deposit boxes Manages inventory of office and break room supplies and reorders as necessary Other Duties and Responsibilities: Assists with maintenance of marketing inventory, coordinating orders, distribution, as needed Facilitates, on an as needed basis, corporate sponsorships, ensuring both customers and the Bank realize the full benefit of sponsorship opportunities Complies with and maintains current knowledge of all applicable federal and state banking regulations, as well as with all bank and department policies and procedures Provide administrative support to various departments as needed, including data entry, filing, and preparing documents Performs additional duties, handles special projects, and serves on various committees as needed Attends all required meetings and training Working Conditions: Physical surroundings are generally pleasant and comfortable with protection from weather conditions but not necessarily from temperature changes. Normally seated with freedom of movement on a regular basis. Extensive operation of computers and other office equipment requiring dexterity and coordination and frequent use of hands. Ability to lift items weighing approximately thirty-five pounds. Requirements High school graduate or equivalent. Previous office experience as a receptionist, front office representative or in a similar role preferred. Proficiency in Microsoft Office Suite preferred. Excellent written and verbal communication skills. Strong organization and time management abilities. Ability to handle sensitive information with discretion and confidentiality. Interacts harmoniously, professionally, cordially and effectively with others, focusing upon the attainment of bank goals and objectives through a commitment to teamwork. Ability to read/see documents and computer screens, to communicate in person and via the telephone and to operate a computer and other office equipment. Is dependable and conforms to punctuality and attendance standards.
