DESCRIPTION AND REQUIREMENTS

Office Team Assistant main responsibilities:

  • Administrative Support: Provide comprehensive administrative assistance to the office team, including managing calendars, scheduling meetings, preparing documents, and organizing travel arrangements. Mail distribution services including incoming, outbound, and registered mail.
  • Communication and Correspondence: Facilitate internal and external communication by managing emails, phone calls, and inquiries. Draft and proofread correspondence, memos, and other written materials as required.
  • Meeting Coordination: Arrange and coordinate meetings, conferences, and appointments for the office team. Prepare agendas, compile relevant documents, and ensure necessary resources are available.
  • Data Management: Maintain accurate and organized electronic and physical filing systems. Assist with data entry, record keeping, and retrieval of information as needed. Documents registration, printing, binding, copying, scanning. File archiving & administration.
  • Internal Storage Administration: register incoming/outcoming equipment, keep track through specific documents, organize annual asset audit.
  • Support for Support Finance/Accounting team: invoices registration and archiving, process monthly payments and track progress as per the team request.
  • Office Operations Support: Assist in various office operations, such as ordering supplies, coordinating maintenance requests, and managing office equipment and facilities. Ensure a well-functioning and tidy office environment. Serve as fire-alarm point. Point of contact for car leasing vendors and mobile services vendor. Cooperate and support related site functions (IT, Facility Management, Site Management) including Catering services when needed and coffee

JOB REQUIREMENTS:

  • Strong English skills
  • Microsoft Office proficient
  • Previous work experience in a similar role
  • Familiarity with office organization and optimization techniques
  • A high degree of multi-tasking and time management capability
  • Excellent written and verbal communication skills
  • Bachelor Degree
