The Office & Workplace Manager is based at our corporate head office, and the family’s private office, located in a Georgian mansion house in the heart of the West End. Around 40 people work from this unique office facility, (Grade II listed building of some 11,000 square feet); filled with fine art and antique furniture.

Responsibilities

WHAT’S THE MISSION FOR THIS ROLE?

We’re looking for a proactive and hands-on Office & Workplace Manager to lead the day-to-day operations of our front of house and office environment. In this varied and impactful role, you’ll manage the reception and security team, oversee building services and vendor relationships, and ensure the office runs smoothly — from the desks people sit at to the experiences they have when they walk through the door.
You’ll be the go-to person for all workplace needs, leading small-scale projects, coordinating events, managing contractors, and making sure our space is safe, professional, and people-first.

WHAT DOES THIS ROLE DO?

As our Office and Workplace Manager you will:

  • Manage the Front of House and Security teams to deliver a high-standard, welcoming experience for staff and visitors.
  • Oversee the ordering of office furniture, equipment, and supplies — making sure everyone has what they need to thrive.
  • Act as the key contact for all office operations and environment-related queries.
  • Build strong relationships internally and with third-party vendors (cleaning, security, maintenance, etc.) and ensuring service contracts are delivered to the requited standard.
  • Support facilities-related budgets and helping deliver cost-effective improvements.
  • Lead workplace-related projects such as refurbishments, space planning and layout changes.
  • Support building security systems, continuity planning, and emergency protocols.
  • Ensure antiques and artwork on site are properly maintained and insured.
  • Organise internal meetings and events — from AV setup to catering and logistics.

WHAT DO I BRING TO THE ROLE?

  • Previous experience as an Office Manager, Workplace Manager, or in a similar facilities-related role.
  • Experience managing reception or FOH teams.
  • Confident overseeing building operations, vendor relationships, and security processes.
  • Excellent organisational and communication skills.
  • Calm under pressure, with the ability to juggle multiple responsibilities at once.
  • A proactive, flexible, and collaborative mindset — always looking for ways to improve.
  • Professional, trustworthy, and comfortable handling confidential information.
  • Previous Experience working with executives or high-profile individuals
