MINIMUM REQUIREMENTS

  • Relevant degree/diploma (NQF 7).
  • At least three years of relevant experience within a higher education environment.
  • Computer literate.
Responsibilities

PURPOSE

The main purpose of this position is to proactively provide efficient and effective administrative and secretarial support to the Head of School.

DUTIES AND RESPONSIBILITIES

  • Committee administration for Faculty Committee meetings.
  • Provide input on relevant academic policies and procedures.
  • Assist with the development, implementation and management of appropriate administrative control systems.
  • Record minutes of relevant meetings.
  • Distribute minutes to relevant stakeholders.
  • Student admissions.
  • Assess applications from prospective students.
  • Communicate decisions to candidates.
  • Counseling of applicants.
  • Assist with planning and organizing the registration process.
  • Briefing of academic advisors, programme co-ordinators, and Heads of Departments.
  • Provide curriculum advice to new and returning undergraduate students.
  • Contribute to the preparation of registration briefing sheet for returning students as well as curriculum forms.
  • Verification and registration audit.
  • Check curriculum and registration forms.
  • Maintenance of student records.
  • Maintain student curriculum information both electronically and manually.
  • Process student concessions (credit and exemptions).
  • Process curriculum changes.
  • Update assessment and examination results.
  • Entry of academic progress codes and any special awards.
  • Process and communicate the update of student records for postgraduate student tracking.
  • Administration of examination results.
  • Assist with all administration and logistics related to graduations.
  • Accreditation
  • Assist with the accreditation of academic programmes
  • Assist with quality assurance of academic offerings within the Faculty.
  • Regular interaction with the Faculty Manager, Heads of Departments, Programme Co-ordinators, and academic Advisors.
  • Liaise with other student support and administrative departments in the university.
  • Interact with the Faculty Student Council in collaboration with the Faculty Manager.
  • Develop relevant reports as and when required.
  • Communicate and consult with relevant stakeholders.
  • Post occupants must adhere to all reasonable and fair instructions.
