JOB PURPOSE:  Hospitality & Fleet Management: * Effective services rendering of end to end Business travel requirements which include air tickets, hotels, visa services and transport arrangements (airport transfers, chauffeur services) * Ensure timely renewal, operational support and administration of Banks car fleet services with driver * Support with related contract renewals and ensuring timely payments for services  * Ensuring compliance to predefined SLAs, policy and procedures whilst ensuring high standards of service * Strive towards service excellence and continuous improvement * Ensure business operations continuity  * Maintain up to date related MIS and use data analytics to drive change management whilst working towards continuous improvements * Provide cross functional support as required * Strategically plan and lead improvement initiatives and projects * Ensure business operations continuity and high customer satisfaction   KEY ACCOUNTABILITIES:    * Knowledge of services Knowledge of services provided by the market to support the Banks strategic growth plans. Knowledge of Banks presence, growth strategy and key focus areas.  * Industry Knowledge Knowledge and appropriate use of market intelligence and their impact on FAB business decisions; statistical and graphical reporting to management to help decision making. * Data Analysis and Financial Modelling Determining trends from raw data to assist decision-making, forecasts and budgeting. Achieve savings and optimization targets as defined * Risk Management Skills The ability to identify, assess and mitigate the operational, technical and commercial risks associated with the operations. Developing Business Relationships        Develop and sustain mutually beneficial business partnerships internally & externally * Drive Service Excellence Deliver service excellence in all interactions with internal customers, stakeholders and partners   Job Context : Hospitality: 1. Attend to all assigned business travel requests end to end covering air travel, hotels and airport transfers (this involves working late hours/odd hours) 2. Work closely with appointed travel agents and vendors/partners to deliver on travel requests 3. Maintain and promote a professional and courteous inter-customer relation by managing a prompt and accurate response to telephone and email communications including post trip follow ups 4. Resolving internal customer complaints in a timely manner and ensuring high customer service excellence standards whilst managing day to day high volume bookings 5. Daily update of bookings related MIS 6. Efficient coordination with multiple vendors for various services requiring adept coordination, analytical skills and accountability to ensure all service requests are effectively managed and closed on time within predefined SLA 7. Ensuring timely payments to vendors for services rendered successfully, maintaining up to date tracker for due and paid payments with suppliers/ internal stakeholders  8. Managing VVIP/EXCO bookings sensitively and off hours support during sensitive bookings 9. Understanding and remembering VVIP and staff preferences and arrange bookings in accordance, albeit within policy 10. Ensuring corporate rates alignment for hotels for UAE and international locations to ensure preferred hotels are enlisted 11. Manage group travels and end to end Business travel requirements for groups which includes assistance with Visa , Flights, hotels, airport transfers and taxi bookings/car rental  12. Monitor and ensure compliance with the Travel policy  13. Maintain and update Complaints tracker and resolutions report 14. Maintain International locations corporate hotel rates master file and validating the rates prior to bookings Fleet Management & Corporate Credit cards 15. Support with timely renewal of Banks fleet contract 16. Day to day administration of fleet related tasks (eg. Driver replacements during leave/resignation, accident reporting, replacement cars during services/maintenance/repairs, etc)  17. Vendor payment processing for related services 18. Arrangement of corporate credit card for fuel and track spend 19. Ensure timely remediation to clear any outstanding audit observations. 20. An up-to-date MIS payment status must always be maintained. 21. Review, validate and raise fleet and related invoices 22. Follow through to PO issuance after validation of expense    MI Reporting & governance 23. Ensure daily MIS update, use data analytics to drive change management whilst working towards continuous improvements 24. Strategically plan, lead and drive improvement / automation or process efficiency initiatives/projects 25. Build effective checks and controls to support and mitigate operational errors. 26. Update RCSAs, KRI, BIA and BCP related documentation 27. Provide feedback and coordinate to ensure policies and procedures are updated as required 28. Ensuring related vendor contract renewals in a timely manner and driving vendor performance  29. Vendor complaints tracking and related reviews of remediation  30. Ensure timely remediation to clear any outstanding audit observations 31. Render support and comply with Special Projects as assigned. 32. Scheduling reviews with Team/Vendor to understand their challenges and support required. 33. Ensure that work activities are in conformity with Bank’s Policies & Standard Operating Procedure (SOP’s).   .
