Job Summary – On-Site Property Manager
The Property Manager is responsible for the overall day-to-day operations and management of a multi-family residential community consisting of 216 units in Anaheim, CA. The Property Manager supervises all onsite staff, including but not limited to Assistant Property Manager, Leasing Consultant, Maintenance Supervisor, Maintenance Technician and Porter. The Property Manager reports to the Regional Director.
This is a non-exempt position with an hourly rate range of $24.00 to $26.00 per hour.
This position is required on-site and comes with a no cost 2 bed 2 bath deluxe apartment valued at $2,750 per month or $33,000 per year, this benefit does not include utilities. Position will also come with a cell phone and mileage allowance.
Job Duties

General Functions:

  • Manage resident relations with tact, diplomacy and courteous communications.
  • Maintain monthly budgeted occupancy while ensuring highest market rents are achieved.
  • Ensure the community appearance and curb appeal is maintained on a daily basis.
  • Ensure all service requests and community repairs are scheduled and completed within 48 hours of the request.
  • Create and execute marketing strategies to achieve the budgeted Occupancy, Gross Potential and Rent Growth goals of the community.
  • Monitor guest cards and follow-up communications.
  • Respond promptly to resident complaints, concerns and requests.
  • Enforce company policies and community rules with consistency and fairness.
  • Maintain knowledge and certification in Fair Housing laws, rules and regulations.

Community Leasing/Marketing: All managers participate in leasing available apartments.

  • Follow up with prospects through email or phone contact.
  • Manage monthly lease expirations.
  • Prepare monthly rent increases as directed by Regional Director.
  • Deliver/send renewal options (Change of Tenancy) forms and follow up through completion.
  • Prepare housing (HUD) move-in packets, schedule inspections, sign contracts and leases for smooth, timely transition.

Financial Management:

  • Review monthly financial results of property versus Budget and year-to-date results each month.
  • Meet with the Maintenance Supervisor to order all necessary supplies for the operations/repairs of the community. Schedule outside vendors as necessary in accordance with the Maintenance Supervisor.
  • Plan for necessary capital Improvements. Analyze scopes of work and obtain “apples to apples” proposals for comparisons. Create bid charts and make recommendations to Regional Director.
  • Prepare annual budget.
  • Property Manager/Assistant Property Manager, complete processing of invoices in a timely manner.

Administration:

  • Ensure that all administrative paperwork is accurate, complete and submitted on a timely basis, including move-in/new lease packages, final deposit accounting statements and purchase orders.
  • Monitor maintenance, construction and renovation projects to ensure quality and expediency. Walk units to make sure service requests for make-ready units were completed accurately and timely.
  • Ensure proper response and handling off all community emergencies with staff, residents, buildings, etc. within company guidelines to minimize liabilities such as criminal activity, employee/resident injuries, fires, floods, earthquakes, etc.

Personnel Management:

  • Daily staff meetings for updates to review work orders, schedule turnovers, plan/schedule vendor work orders and other concerns that need to be addressed.
  • Use consistent, effective techniques and follow company guidelines to screen, hire and train new personnel.
  • Assist staff through ongoing training, coaching, counseling and guidance.
  • Complete daily/weekly office and maintenance checklists, schedules and assignments. Monitor progress of work assignments.
  • Deal effectively, consistently and timely with performance issues. Document accurately and communicate with the Regional Director and Director of Human Resources and/all performance and/or personnel issues.
  • Execute terminations with the Regional Director and/or Director of Human Resources when deemed necessary.
  • Ensure all administrative functions pertaining to personnel are processed on a timely basis. (Performance evaluations, salary reviews, bi-weekly time sheets, change of status forms, etc.)
  • Ensure staff compliance and consistency with regard to company policies and procedures, industry regulations and safety practices.

Other duties include:

Supervisory Responsibility
This candidate has a minimum of six (6) years leadership and supervisory experience, managing an apartment community staff, or similar experience.
Work Environment
This job operates in a professional office environment. This role routinely involves standard office equipment such as computers, phones, photocopiers, scanners, and cloud-based file sharing systems.

Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m. Some weekends may be required.

Required Education and Experience

  • Bachelor’s degree or equivalent vocational/technical training.
  • Six years of experience in property management.

Preferred Education and Experience

  • Courses in real estate.
  • CSM, CPM or RPA credentials.
