JOB OVERVIEW:

The Onboarding Administrator is responsible for a variety of project administration related duties, including employee onboarding, camp bookings, point of contact for new hires, etc. Ideal candidates would have strong attention to detail, organization, and time management skills.
APTIM is currently seeking a temporary Onboarding Administrator to support upcoming Turnarounds at multiple client sites in Fort McMurray. The successful candidates will be local to Fort McMurray and have their own accommodations in the region. Work hours, location, and schedules may change dependent on the needs of APTIM and its clients.

MINIMUM REQUIREMENTS:

  • High School Diploma
  • 2+ years relevant experience as a site administrator
  • Microsoft Office Tools - proficient with excel, formulas, pivot tables, macros would be considered an asset
  • Adaptability to changing demands
  • Previous administrative experience in the Construction or Oil & Gas industry

Responsibilities:

  • Responsible for the on-boarding of all personnel for turnaround.
  • Work with Project Site Managers to ensure that administrative needs at their respective project site are being met.
  • Ensuring compliance to legislation, adherence to client contract, site specific requirements and compliance with internal policies.
  • Collection and accurate data entry of employee information into various systems.
  • High proficiency in Microsoft Office suite including Excel and Outlook.
  • Ensuring all workers pass drug and alcohol testing.
  • Responsible for working with the client to get all employees mobilized to site.
  • Booking travel and accommodations for employees.
  • Comfortable with administration for union labour.
  • Great verbal and written communicator.
  • Excellent phone manner, comfortable talking on the phone for long periods of time and handling a high volume of phone calls.
  • Maintain professional relationships with internal and external clients.
  • Multitasking and organizational skills a necessity.
