POSITION SUMMARY:

The Offsite Property Administrator provides essential on-the-ground support across multiple condominium and residential sites. This is a customer-facing role requiring flexibility, organization, and the ability to manage frequent interruptions with professionalism. The successful candidate will be responsible for assisting with the daily operational needs of the properties while offering a consistent presence at site offices.

QUALIFICATIONS & SKILLS:

  • Previous experience in property management, administrative support, or customer service
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel)
  • Strong organizational skills and the ability to multitask in a busy environment
  • Comfortable working independently and making decisions on-site
  • Excellent verbal and written communication skills
  • Demonstrated ability to handle interruptions and shifting priorities with ease
  • Friendly, approachable, and professional demeanor

REQUIREMENTS:

  • Must have a valid driver’s license and access to a reliable vehicle
  • Willingness and ability to travel between multiple properties daily
  • Ability to lift/move small packages, signs, or notices as needed
  • Availability to work 5 hours per day, Monday through FridayLOCATION: MULTIPLE SITES (TRAVEL REQUIRED) YORK REGIONHOURS: PART-TIME, 5 HOURS/DAY, MONDAY TO FRIDAY (25 HOURS/WEEK)Reports to: Property Manager
Responsibilities
  • Respond to resident and board inquiries in person and via phone/email
  • Coordinate and manage bookings for party rooms and elevators, guest suites
  • Assist with fire inspections and related compliance support
  • Assist with in-suite HVAC inspections
  • Maintain records, files and online data base regarding building information, resident information and vendor information
  • Deliver and post resident notices and building communications
  • Conduct regular site walks and observations for cleanliness, safety, and maintenance
  • Coordinate with maintenance staff, vendors and contractors for repairs, inspections, and scheduled maintenance
  • Prepare correspondence, maintenance and inspection reports
  • Obtaining and reviewing security reports from concierge daily
  • Program entry phone, FOB systems and maintain building access records
  • Provide administrative support to Property Managers as needed
  • Represent the company with professionalism and a high standard of customer service at each site
  • Travel between assigned sites as required
