Job Description Position Summary: The Operations Supervisor plays a critical leadership role in overseeing the daily operations of workforce development programs. This position ensures program compliance, staff performance, and successful participant outcomes. The Supervisor will manage a team of Career Development Coordinators and collaborate closely with leadership to drive strategic initiatives, maintain funding compliance, and support youth and adult participants in achieving self-sufficiency. Key Responsibilities: Program Oversight & Compliance Ensure all program activities align with county, state, and federal regulations, including WIOA guidelines. Monitor intake, eligibility, assessments, service plans, and career pathway documentation for quality and compliance. Conduct regular file reviews and audits to ensure accuracy and completeness. Oversee participant progress from outreach through retention and advancement. Staff Supervision & Development Supervise Career Development Coordinators and other assigned staff. Conduct weekly team meetings and one-on-one check-ins to support staff performance. Delegate responsibilities and provide guidance to meet or exceed performance standards. Review staff performance and recommend corrective actions or professional development as needed. Coordinate and facilitate training to ensure staff are equipped to deliver services effectively. Reporting & Communication Complete and submit all required weekly/monthly reports to funders and partners. Maintain project plans and reporting documentation to ensure timely communication and delivery. Facilitate meetings with partners and stakeholders to promote collaboration and transparency. Strategic & Financial Collaboration Partner with the Project Director and Project Accountant on budgeting, forecasting, and financial sustainability. Support contract management, program development, and business development efforts. Community Engagement Represent the organization at partner meetings, community events, and funding-related engagements. Promote full and frequent communication with external partners and internal teams. Establish new partnerships to expand youth access to resources and support the achievement of program performance goals. Other Duties Resolve operational issues and conflicts as they arise. Participate in the development and maintenance of standard operating procedures. Perform other duties as assigned. Qualifications Qualifications Bachelor’s degree in Business, Management, Human Services, or a related field; or equivalent work experience. Minimum of 2–3 years of experience in WIOA or similar workforce development programs. At least 3 years of supervisory experience, or an equivalent combination of education and experience. Demonstrated leadership, organizational, and interpersonal skills. Strong commitment to customer-focused service delivery. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Bilingual (English/Spanish) preferred. Valid driver’s license in good standing and proof of automobile insurance required. Friendly and professional demeanor; staffing experience preferred.
