Job Title: Operations & Administration Assistant
Location: Central Wokingham
Employment Type: Self-Employed, Permanent Part-Time (12 hours per week)
Salary: £12.50 per hour + Task-Related Travel Expenses
Start Date: ASAP
The Operations & Admin Assistant will assist responsibilities for the daily administrative and operational tasks of the babyballet® Reading and Henley-on-Thames dance school. This role is vital for ensuring smooth communication, compliance and providing consistency to the business operations. There will be a strong mix of administaive and practical tasks within this role. The successful candidate will be employed by the babyballet® Reading and Henley-on-Thames franchise, which is a self-employed business, and not by Babyballet Franchising Limited.
The ideal candidate will be reliable, organized, and a strong advocate for the babyballet® brand & our small business. This role requires someone passionate about what we do with a desire to grow with the success of the business. This role offers a semi-flexible working arrangement, with work from home option on Thursday daytime and Saturday mornings but majority in-office requirements.

Responsibilities

Ongoing Weekly Tasks:

  • Maintain daily communications, including professional telephone calls email management, social media updates, text messages, and WhatsApp communications.
  • Support with practical tasks, such as props cleaning & maintenance and inventory management.
  • Physical administration tasks including shredding, filing and printing.
  • Data entry tasks and organize business files, suggesting and implementing new systems for efficiency.
  • Organize class enrollments, waitlists, trials, and space cancellations.
  • Log all customer interactions in the CRM system.
  • Send invoices and follow up on outstanding payments.
  • Assist the Admin manager with business operations during the franchise owner’s absence.
  • Help organise last-minute cover needs or class cancellations.
  • Ensure all communications and data is stored in compliance with Data Protection Act.

Occasional and Periodic Tasks:

  • Assist with dance show preparation and be present on show day (one Sunday per year).
  • Assist the franchise owner in long-term business development and planning.
  • Attend marketing events, such as the Reading Children’s Activities Festival.
