We are looking for an Operations & Administrative Assistant (32–40 hours per week) to expand our Operations and Office Management capacity. In this role, you will provide essential support to ensure the smooth day-to-day running of our office and operational activities. The ideal candidate thrives in a fast-paced, international environment and combines strong organisational skills with a proactive, service-oriented mindset.
EATRIS (the European Research Infrastructure for Translational Medicine) is a non-profit organisation active in the preclinical and early clinical phases of medicine, diagnostics, and vaccine development, and collaborates with a wide range of stakeholders including academia, SMEs, large pharma/biotech, patient organisations, and research funding bodies. The infrastructure provides access to excellent academic expertise and facilities from 150+ partner institutions across our 14 European Member States to accelerate early medicine development and advance promising medical research for the benefit of patients.

As the Operations & Administrative Assistant, you will take ownership of a broad range of tasks from coordinating meetings and business travel to supporting project administration and maintaining our CRM system. You will report to the Head of Administration and be the central point of contact for colleagues and external parties when it comes to organisational and logistical support.

Responsibilities
  • Manage requests for scheduling calls/meetings/interviews with both internal and external parties.
  • Make arrangements for business trips (travel and accommodation bookings, arranging conference registrations)
  • Coordinate organisation of meetings and team events (logistics/registrations/communication with third party providers and subcontractors) and provide onsite support.
  • Support the team with project-specific administrative tasks.
  • Contribute to the maintenance of the EATRIS Contract Relation Management (CRM)
  • Day to day office and facilities management activities – ordering office supplies, housekeeping tasks, dealing with postal mail.
  • Liaison with the Hospital Service Desk team to book facilities and services
