POSITION SUMMARY

The Operations/Administrative Assistant/Manager uses all resources to pull together valid information to give insights to the company for upper management to use for business decisions, compensation modeling, and goal setting. They need to communicate clearly and be comfortable using both logic and creative thinking.

OBJECTIVES

  • Pull daily, weekly, monthly, quarterly, and yearly reports, and arrange data into the best visual and communicative format (graphs, flowcharts, etc.)
  • Communicate the results of data analysis in written and verbal form to managers
  • Develop and maintain dashboards, reports, and visualizations to present data-driven insights.
  • Aligning reports to business objectives and key performance indicators.
  • Collaborating with other business areas and leaders to identify reporting needs and data requirements
  • Ensure accurate and timely reporting from all participating positions
  • General knowledge of business operations, objectives, strategies, process and information flow
  • Identify trends, patterns, and anomalies in data to support strategic decision-making.
  • Implement data quality and validation procedures to ensure the reliability of analytical results.
  • Stay informed about industry best practices and emerging trends in data analysis.
  • Keep track of all incoming invoices and enter onto Accounts Payable spreadsheet
  • Submits approved pay applications to General Contractors when due
  • Ensures all pay applications and invoices are received by the correct parties
  • Tracks, forecasts, and collects Accounts Receivable
  • Submit pre-qualification and pre-contract paperwork to General Contractors
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Assist Operations Director and Office Manager as needed
  • Maintains and keeps all paperwork, documents, and emails organized for easy access
  • Possess the willingness to train others and cross train
  • Willing to work workends and overtime when needed
  • Willing to travel and attend after hour events for recruiting
  • Proactively source candidates through job boards, LinkedIn, networking, referrals, and other platforms.
  • Build and maintain talent pipelines for current and future hiring needs.
  • Conduct initial screening calls and interviews to assess candidate fit.
  • Coordinate and schedule interviews with hiring managers.
  • Provide feedback and follow up with candidates promptly.
  • Partner with hiring managers to understand job requirements and team dynamics.
  • Advise on job descriptions, compensation, and interview strategies.
  • Track and report key recruiting metrics (e.g., time to hire, cost per hire)
  • Ensure a smooth, respectful, and engaging process for all candidates
  • Communicate clearly and consistently, providing updates throughout the hiring cycle.

EDUCATION AND EXPERIENCE

  • Five to ten years of experience as a financial or business analyst
  • Bachelor degree in Computer Science, Statistics, or Information Systems, Finance, Business, or related areas preferred
  • Bonded or be willing to get bonded
  • Must provide written consent for a credit check

PHYSICAL REQUIREMENTS

  • Office environment.
  • Vision for near, mid-range and far as well as hearing for low, medium, and high pitch.
  • Superior communication skills with co-workers, customers, trade partners and vendors.
  • Requires physical ability for frequent sitting, standing, crouching, kneeling, walking, reaching above head and below waist.
  • Must have a current and valid driver’s license
  • Must be able to perform all job expectations safely with or without reasonable accommodations.
  • Ability to lift up to 50 pounds.
