OVERVIEW

We are seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will be responsible for providing comprehensive administrative support, ensuring smooth office operations, and delivering exceptional customer service. This role requires a proactive individual who can manage multiple tasks efficiently while maintaining a high level of professionalism. The office hours will be 9:00 am-6:00 pm on Monday and Tuesday, 8:00 am-5:00 pm Wednesday through Friday

SKILLS

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong organizational skills with the ability to manage time effectively.
  • Excellent typing skills with attention to detail for data entry tasks.
  • Previous clerical or administrative experience is preferred, including roles such as dental receptionist or medical receptionist.
  • Ability to multitask is a must.
  • Familiarity with office management practices and customer service principles.
  • Strong computer literacy, including experience with multi-line phone systems.
  • Ability to maintain confidentiality and handle sensitive information responsibly.

Responsibilities
  • Manage front desk operations, greeting visitors and handling inquiries with a friendly demeanor.
  • Answer and direct calls using a multi-line phone system, ensuring excellent phone etiquette.
  • Perform data entry tasks accurately and efficiently, maintaining organized records and files.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide customer support by responding to client inquiries and resolving issues promptly.
  • Utilize Microsoft Office for document creation, spreadsheets, and presentations.
  • Assist in ordering as needed.
  • Support the Service and New/Used Department managers by processing new jobs in the computer ease software system to include opening new jobs, managing job folders, invoicing, issuing purchase and work orders, reporting of job cost, profits and updates, upkeep of job folders and closure of jobs in system.
  • Collaborate with team members to enhance office management processes.
  • Other duties as assigned
