OPERATIONS ADMINISTRATOR

We’re on the lookout for an Operations Administrator to join our crew—someone who’s highly organized, thrives on variety, and loves keeping both projects and people on track. You’ll sit right at the heart of the company, ensuring everything behind the scenes runs smoothly and efficiently. In this role, you’ll support our Operations, Traffic, and HR teams.

  • You’re familiar with tools like HiBob, Productive, Slack—or eager to learn.
  • You have experience in an admin, HR, traffic, or studio/agency support role, and enjoy helping teams stay on track.

Responsibilities

Traffic Support

  • Keep our weekly resourcing plan up to date in collaboration with the Traffic Manager.
  • Support freelance onboarding, tracking, and off boarding, making sure freelancers are well taken care of.
  • Ensure all freelance contracts are accurate and up to date.
  • Set up and maintain the company’s holiday overview.
  • Assist the Traffic Manager with day-to-day planning and help keep the teams running smoothly.

Ops Team & HR Support

  • Be the friendly face for new starters, supporting onboarding with documents, tools access, and introductions.
  • Assist with hiring coordination, such as interview scheduling, job postings, and communication logistics.
  • Help nurture a strong company culture by organizing birthday shoutouts, team days, Slack celebrations, and more.
  • Act as the go-to person for day-to-day questions—how to book leave, locate files, or figure out who does what.
  • Own freelance administration across tools like HiBob and Productive.

PM Admin

  • Keep our project management tools running smoothly: set up new projects, support team members, and maintain clean project data.
  • Help track and manage timesheets and contractor invoices.
  • Support Project Managers with administrative tasks to keep projects on track and well-documented.
  • Maintain a high-level overview of operations—keeping workflows moving and ensuring no detail is missed.
  • Lead and coordinate the month-end process with internal teams to ensure a smooth operational and financial close.
  • Develop deep knowledge of our internal tools (agency management, HR, and finance systems) and understand how they connect and depend on one another.
  • Support the PM team with regular project status checks via dashboards and internal tools.
