REQUIREMENTS

Essential:

  • 2 + years experience in an administrative or operations support role, ideally in healthcare, technology or another regulated environment.
  • Strong organizational and time management skills.
  • Very comfortable working with digital tools (e.g., Google Workspace, Notion, Slack, Asana, or similar).
  • Excellent communication skills, both verbal and written.
  • Professional, proactive, and capable of handling confidential information with discretion.

Desirable:

  • Familiarity with clinical operations, patient scheduling, or workforce planning.
  • Experience working in a startup or scaling company.
  • Understanding of GDPR, ISO 27001, or other compliance and data protection standards.
  • Experience working with healthcare professionals or clinical teams.

Responsibilities

ROLE OVERVIEW

We are seeking a proactive and detail-oriented Operations Administrator to support our growing team. The successful candidate will play a key role in ensuring the smooth running of administrative and clinical operations, supporting compliance, internal communication, and efficient service delivery in a regulated digital health environment.

KEY RESPONSIBILITIES

General Administration

  • Provide day-to-day administrative support to the Operations team
  • Track project progress, manage documentation, and drive internal communications
  • Help administer and maintain operational systems including HRIS, CRM, Google Drive and CS tools.

Operational Planning & Coordination

  • Assist in developing and maintaining schedules, capacity planning, and resource allocation to support scalable, high-quality clinical operations.
  • Liaise with cross-functional teams to ensure alignment between operational and clinical priorities and support the planning of clinical services to ensure that patient care is effectively delivered.

Clinician Support

  • Act as the primary point of contact for all clinicians working with Beyond BMI.
  • Ensure clinicians are equipped with the tools, access, and information needed to deliver care effectively.

Regulatory and Compliance Support

  • Support the tracking of compliance activities such as license renewals, audit schedules, and clinical governance reviews.
  • Assist in maintaining and updating regulated documents, including SOPs and patient-facing protocols.
  • Support the documentation of information security and data management in line with GDPR and other relevant frameworks.

Onboarding and HR Support

  • Coordinate the onboarding and offboarding process for employees and contractors, including equipment, access, and documentation.
  • Maintain accurate records of training, credentials, and HR files.
