  • KCSE Diploma in business studies (or equivalent)
  • Strong engagement skills, with ability to communicate verbally and on email across Kenya and UK teams.
  • Ability to problem solve, and influence suppliers’ administration and AR teams and freight forwarders to improve invoice accuracy.
  • Numerate and able to work efficiently and accurately with IT systems.

Responsibilities

ABOUT THE ROLE

An exciting opportunity has arisen for an Operations Administrator to join our House Plants & Flowers team. This is an excellent opportunity for someone who is looking to take the next step in their career and join a global business with a £2 billion + turnover.
You will provide general administrative support to the operational team whilst ensuring compliance to internal controls and external standards. You will also have to establish and maintain an excellent communication policy between internal and external customers at all times.

KEY RESPONSIBILITIES WILL INCLUDE:

  • Agreeing the allocation of orders with the Sourcing Manager and Specialist-Supply Chain .(Making the decision in the absence of both the above).
  • Raising PO’s and population of volumes and sending orders to suppliers on a weekly basis.
  • Support the Specialist -Supply Chain role fully in their absence.
  • Allocating the orders to growers and ensuring the communication to grower and BU is to the agreed protocol. Dealing with daily changes, amendments to said orders as needed throughout the supply chain.
  • Monitoring performance against this program.
  • Keeping freight forwarders abreast of volumes and helping them to achieve excellence in documentation preparation to avoid delays.
  • Ensure all invoices associated with Kenyan office are managed and processed within agreed protocol.
  • Updating PR3 shipping volume with actual volume.
  • Ensuring advice invoices are communicated to suppliers once we have received the products.
  • Consolidation of daily flight information against supplier orders.
  • Preparation and analyst of weekly supplier reports to show any variances between orders and delivery.
  • Supporting the Specialist –Supply Chain in developing ‘supply’ scorecards on each supplier in regard to ‘on time in full’ KPI and documentation discrepancies
  • Support UK BU admins in ensuring the price cube is updated with all changes and accurate.
  • Daily communication with Freight forwarders on issues relating to capacity ,offloads, balances and discrepancies on shipping documents.
