OVERVIEW

We are seeking a detail-oriented and proactive Operations Administrator to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and maintaining efficient office processes. This position requires strong organisational skills, excellent phone etiquette, and proficiency in various software applications.

EXPERIENCE

  • Previous office experience is essential, with a focus on administrative roles.
  • Proficient computer skills, particularly in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with Xero is highly desirable but not mandatory.
  • Strong organisational skills with the ability to manage multiple tasks simultaneously while maintaining accuracy.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and a proactive attitude.
  • Excellent typing skills with a keen eye for detail in data entry tasks.
  • Prior clerical experience will be an advantage, showcasing your ability to handle various administrative responsibilities effectively.     Additional Information:
    Working days will be Monday, Wednesday and Friday, 9am - 5pm with a paid lunch hour.
    Initially, the role is based in the office but may change to fully remote in the near future.
    Job Types: Part-time, Permanent
    Pay: £16,000.00-£20,000.00 per year
    Expected hours: 24 per week

Responsibilities
  • Assist in planning, coordinating, and monitoring business operations and projects.
  • Maintain accurate records, databases, and filing systems (digital and physical).
  • Prepare reports, presentations, and documentation as required.
  • Monitor and manage office supplies, equipment, and vendor relationships.
  • Support compliance with company policies, health & safety standards, and industry regulations.
  • Assist in budgeting, expense tracking, and invoice processing.
  • Coordinate meetings, schedules, and travel arrangements.
  • Respond to internal and external queries in a professional and timely manner.
  • Identify opportunities to improve operational efficiency and recommend process improvements.
  • Schedule in new jobs and ensure they are completed on time.
  • Communicate effectively with the clients regarding jobs and their status.
  • Track and chase outstanding invoices.
