Description
The Operations Administrator provides essential administrative, analytical, and organizational support to the Operations team. This role ensures daily workflow efficiency, timely data entry, effective communication, and accurate documentation across operational processes. The Operations Administrator serves as a key coordination point between Operations, HR, Safety, Finance, and external partners to help maintain high service levels, regulatory compliance, and operational excellence. Reports To Operations Manager Essential Job Duties: * Assist Operations leadership with day-to-day administrative functions, scheduling, communications, and reporting. * Maintain and update daily operational logs, route sheets, equipment rosters, and attendance records. * Coordinate onboarding and offboarding workflows for new hires and exiting teammates, partnering closely with HR Shared Services. * Support fleet, dispatch, and route teams by ensuring accurate data entry into operational systems (e.g., TRUX, internal tools). * Help facilitate meetings, safety briefings, and training events by preparing materials, agendas, and follow-up documentation. * Generate, review, and distribute daily/weekly/monthly operational reports (productivity, attendance, overtime, equipment utilization, etc.). * Validate system data for accuracy, ensuring information aligns across platforms and with internal policies. * Track KPIs and support operations leadership in identifying trends, gaps, and opportunities for process improvement. * Maintain safety documentation, incident reports, training attendance, and regulatory filings as required. * Assist with Workers’ Compensation and incident reporting by coordinating documentation with HR and Safety. * Support compliance with OSHA, DOT, environmental regulations, and internal standards of safety and conduct. * Serve as an internal point of contact for frontline teammates, vendors, and other departments. * Assist with customer escalations by gathering service history, route details, and operational insights for leadership review. * Maintain positive working relationships across teams to support a collaborative and high-performance culture. * Support invoice processing, purchase orders, and vendor coordination as needed. Scope of Responsibility: The Operations Administrator supports daily operational workflows by managing administrative tasks, maintaining accurate data and reports, coordinating with HR, Safety, Finance, and fleet teams, and ensuring compliance and communication across departments. This role provides essential organizational, reporting, and coordination support to keep operations running efficiently and in compliance with company and regulatory requirements. Qualifications Knowledge and Skill Requirements: * Strong proficiency with MS Office Suite (Excel, Outlook, Word) and comfort with operational software platforms. * Excellent attention to detail, accuracy, and follow-through. * Strong organizational skills with the ability to multitask in a fast-paced, deadline-driven environment. * Professional communication skills, both written and verbal. * Experience with TRUX, or similar operational platforms. * Previous experience supporting Operations, Dispatch, or Fleet teams. Education & Experience: * High school diploma or GED; associate’s degree or higher preferred. * Minimum 2 years of administrative, operations, or coordination experience—preferably in logistics, waste/recycling, transportation, or a field-based environment. Physical Demands & Work Environment: * Prolonged periods of sitting at a desk and working on a computer. * Frequent use of hands and fingers to handle, control, or feel objects, tools, or controls. * Regularly required to talk and hear, both in person and by phone or web meetings. * Occasionally required to stand, walk, and reach with hands and arms. * Ability to read and interpret data on a computer screen or printed documents. * Work is performed in an office environment with moderate noise levels, in a climate-controlled environment with heating and air conditioning. * May be required to move around the work site and may be exposed to various weather conditions, including extreme heat, cold, rain, and snow. * May be exposed to high noise levels from trucks and machinery while outside typical office setting. * May be required to lift up to 30 pounds.
