POSITION SUMMARY

The Operations & Client Experience Coordinator supports client projects from booking to execution. This role involves overseeing logistics, maintaining communication post-booking, liaising with venues and planners, staffing events, and managing timelines. The ideal candidate is proactive, organized, and confident in managing multiple moving pieces.

MARKETING & EDUCATION SUPPORT

  • Assist with logistics for masterclasses and educational events
  • Help maintain marketing content by capturing behind-the-scenes footage when needed

WORK EXPERIENCE

  • 2–4 years experience in a client services, operations, event planning, or project coordination role
  • Experience working in fast-paced, multi-project environments
  • Prior experience managing executive calendars and client schedules
  • Background in event logistics, design coordination, or vendor management is a strong plus
  • Familiarity with small business or creative services environments is helpful
  • Experience handling back-office administrative duties (e.g., office supply ordering, IT support coordination)
  • Working knowledge of scheduling and communication tools (e.g., Google Suite, Connecteam, Honeybook, Curate, and Basecamp)

KEY RESPONSIBILITIESCLIENT OPERATIONS

  • Answer all client phone calls, maintaining a high level of professionalism
  • Attend initial client meetings and update proposals with accurate information from intake and following calls
  • Serve as a liaison to venues and planners, gathering critical information for floor plans, setup, and breakdown
  • Manage all client communications post-booking and manage the follow-up process after design meetings
