OVERVIEW

Jane’s Agenda, a fast-growing planner and coaching brand founded in 2013, is hiring an Operations & Procurement Assistant to support our Chief Operating Officer (COO). This role is highly detail-oriented and requires exceptional organizational skills, strong memory, and the ability to follow directions precisely.
The Operations & Procurement Assistant will track purchase orders, maintain vendor communication, update systems, and help ensure inventory and supplies flow seamlessly. You’ll also assist with research, filing, and documentation. If you thrive on accuracy, details, and keeping processes moving without things slipping through the cracks, this role is for you.

QUALIFICATIONS

  • Experience in procurement, inventory, operations, or administrative support preferred.
  • Exceptional attention to detail and accuracy; strong memory for tracking multiple moving parts.
  • Ability to follow instructions carefully and consistently.
  • Clear and professional communication with vendors, team members, and leadership.
  • Proficiency with spreadsheets (Excel or Google Sheets) and comfort learning WMS/other software.
  • Strong organizational and multitasking skills; ability to keep systems and records up to date.
  • Reliable transportation required for occasional errands.
Responsibilities
  • Track all purchase orders from creation to delivery, including updates along the way.
  • Maintain spreadsheets, databases, and our warehouse management system (WMS) with current information.
  • Monitor and update inventory records, assisting with counts and reconciliations.
  • Contact vendors to confirm pricing, timelines, order accuracy, and shipment updates.
  • Research products, materials, and suppliers to support purchasing decisions.
  • Manage filing, documentation, and process organization for operations and procurement.
  • Order office and operational supplies as needed.
  • Provide support in the warehouse during busy seasons (receiving shipments, organizing, etc.).
  • Run local errands related to operations and procurement (must have reliable vehicle).
