POSITION SUMMARY The Operations and Project Executive is responsible for coordinating and supporting the operational and project requirements of the Engineering and IT departments. Reporting directly to the Director of Engineering, this role ensures that departmental projects, initiatives, and operational activities are delivered on time, within scope, and to the highest standards of quality. The position requires excellent organizational and communication skills, strong attention to detail, and the ability to build productive relationships with leaders, associates, and external vendors. In addition to managing calendars, tasks, and reporting for the Engineering and IT leadership, the Operations and Project Executive plays a critical role in coordinating multi-stakeholder projects, maintaining vendor and contractor relationships, and ensuring structured communication and follow-up. The role also supports department leaders by assisting with planning, tracking budgets, and monitoring project timelines, while fostering collaboration across teams to ensure efficiency and accountability. Perform other reasonable job duties as requested by Supervisors Critical Tasks Departmental Support Act as the primary coordination point for the Director of Engineering and IT leadership team. Manage departmental calendars, meetings, tasks, and project-related documentation. Prepare reports, presentations, and updates for departmental and hotel leadership reviews. Ensure timely follow-up on action items and operational priorities. Operations & Administration Support day-to-day operational requirements of Engineering and IT, ensuring smooth workflow and alignment with departmental goals. Maintain departmental records, project files, and confidential documents with accuracy and discretion. Coordinate regular meetings, prepare agendas, take minutes, and ensure structured follow-up. Track departmental service requests, projects, and recurring tasks to maintain accountability. Project Coordination Assist in planning, coordinating, and executing projects across Engineering and IT, ensuring timeliness, quality, and proper communication. Lead structured follow-up with stakeholders to ensure progress against deadlines. Manage vendor and contractor relationships, including communication, scheduling, and performance follow-up. Track project budgets, milestones, and outcomes, reporting regularly to the Director of Engineering. Support cross-departmental coordination for hotel-wide projects requiring Engineering or IT input. Communication & Reporting Draft and review departmental reports, including project updates, expense summaries, and compliance documentation. Consolidate inputs from Engineering and IT leaders to prepare monthly and quarterly executive reports. Ensure consistency, accuracy, and timeliness in submissions to hotel leadership, corporate, or ownership when required. Maintain open communication channels with vendors, contractors, and internal stakeholders. People & Collaboration Build positive and productive working relationships across Engineering, IT, and other hotel departments. Support leaders in training and guiding team members on project processes and accountability. Promote teamwork, transparency, and efficiency in cross-functional initiatives. Handle sensitive departmental matters with tact, professionalism, and confidentiality. Support all co-workers and treat them with dignity and respect. Handle sensitive issues with employees and/or guests with tact, respect, diplomacy, and confidentiality. Physical Tasks Enter and locate work-related information using computers and departmental systems. Read and visually verify information in a variety of formats. Inspect documents and equipment for accuracy and compliance. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Maintain flexibility to manage multiple projects simultaneously while ensuring accuracy and attention to detail. Stand, sit, or walk for an extended period of time or for an entire work shift.
