JOB DESCRIPTION:

We are seeking a detail-oriented and proactive Operations & Purchasing Executive to join our team at a healthcare clinic. In this role, you will be responsible in assisting the Operations Manager and managing the procurement of medical supplies and equipment essential for our clinic’s operations. You will play a key role in ensuring that our clinic runs smoothly by administering the services, resources and development, sourcing, purchasing, and maintaining inventory to meet the needs of our clinical staff.

REQUIREMENTS:

  • A diploma or degree in Supply Chain Management, Business Administration, or a related field.
  • At least 3 years of experience in procurement, preferably in the healthcare sector.
  • Strong negotiation, analytical, and problem-solving skills.
  • Proficiency in procurement software and Microsoft Office Suite.
  • Excellent organizational abilities and attention to detail.
  • Effective communication and interpersonal skills.
  • Able to work 5.5 day work week. (Monday to Friday 9am-6pm, Saturday 9am-1pm)
Responsibilities
  • Identify, evaluate, and establish relationships with reliable suppliers of medical products and equipment.
  • Negotiate prices, terms, and delivery schedules with suppliers to ensure cost-effective purchasing.
  • Monitor inventory levels and place timely orders to prevent stock shortages or overstocking.
  • Collaborate closely with clinical staff to understand supply needs and ensure accurate procurement.
  • Maintain procurement documentation and ensure compliance with relevant regulations and standards.
  • Track and manage deliveries to ensure they meet deadlines and quality expectations.
  • Work with internal teams to streamline purchasing processes and identify areas for improvement.
  • Function as the key interface for the Clinic with staff of other disciplines as well as other service functions with the aim to continuously improve care co-coordination for patients.
  • Ensure efficient operations and process flow for the daily patient care journey. Analyse and help to minimize operational bottlenecks throughout the patient journey flow.
  • Respond to feedback and complaints from customers.
  • Manage service quality by setting service standards, establishing and meeting customer needs by improving processes and workflow for services provided by the Clinic.
  • Problem solving, including analysis of patient feedback with regards to services provided by the Clinic. Make recommendations and implement solutions for service improvement.
  • Institute, review and update clinic work processes, related policies, operation procedures, work instruction for the Clinic to ensure smooth operations with optimal efficiency.
  • Maintain, receive, analyze and evaluate records, reports and statistics for administrative purpose in the assigned clinic.
  • Manage and supervise a group of clinic staff, jointly with Allied Health Professional / Clinic Manager, to provide customer services in service points.
  • Any other duties assigned by Director/ Manager Operations.
