Organizational Setting and Reporting Relationship The position of Operations Assistant is assigned to the Regional Cooperation and Integration and Trade Division (CCRC) within the Climate Change and Sustainable Development Department (CCSD). CCSD leads thematic operations, knowledge innovation, and partnerships. You will be based at our Headquarters in Manila, Philippines. You will report to will report to designated International Staff and senior officer Technical Local Staff. Your Role As an Operations Assistant, you will perform a full range of technical and administrative duties, support in the implementation of the division’s TA activities, and assist in research work of the division. You will manage project information, maintain databases, assist in project implementation, and provide administrative support to supervisors and the team. You will: ● Support knowledge events of the division through coordination and logistical support, liaising with cooperating agencies and other ADB departments/offices, preparing correspondences, budget, engagement of resource persons, dissemination activities, drafting of briefing notes, fulfilling communications-related requirements, and related tasks ● Collect, and compile relevant information and data related to the division’s research outputs and knowledge products and produce regular and/or ad hoc reports/summaries as instructed. ● Provide support in TA administration including consultant engagement, regular monitoring of TA budgets and contracts; process TA study outputs for publication; and help prepare draft TA completion reports. ● Prepare, review, and finalize correspondence, reports, and other documentation in accordance with ADB standards and templates. ● Support missions and team events, including coordination of logistics, documentation, and smooth execution. ● Manage supervisors' schedules, appointments, meetings, and travel arrangements, ensuring coordination and timely follow-up on deliverables. ● Collaborate with team members to share workloads and ensure timely completion of tasks as a team ● Perform other duties as may be assigned and reflected in your workplan. You will need: ● Bachelor’s degree. ● At least 5 years of relevant professional experience. including experience in operations in multilateral development banks or similar organizations. ● Experience preparing reports, presentations, or manuals for management or board review. ● Good working knowledge in consultant engagement and contract management. ● Written and verbal proficiency in English. ● Proficiency in productivity tools, databases, and other applications commonly used in multilateral organizations. ● Good working knowledge of procedures, formats and standards relevant in the performance of work. ● Experience managing multiple tasks, including coordinating schedules, documents, and project deliverables. ● Experience collaborating with different background and nationality. ● Please refer to the link for ADB Competency Framework for TL1. This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff’s particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff’s performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
