JOB DESCRIPTION

We are recruiting for a Operations Assistant to join our company. As a growing business, we are also looking for someone to share their ideas. You will have daily exposure to our Managing Director, so rapid career progression is likely. For us, quality is key – so you have to have an eye for detail and the motivation to go the extra mile to ensure a quality service for our clients.
To be successful, you will need:
· Experience as an administrative assistant or in a similar role (desirable not essential).
· Strong organisational and time management skills.
· Excellent communication and interpersonal skills.
· Proficiency in Microsoft Office, particularly Word and Excel.
· Ability to multitask and prioritise tasks effectively.
· Attention to detail and accuracy.
· Full clean driving license
You will be supporting the operations manager, and your key responsibilities will include (but not be limited to):
· Answering and directing phone calls, emails, and in-person inquiries.
· Maintaining databases, including site schedules and client reports
· Data entry and record-keeping
· Performing general office tasks
· Being the first point of contact for property managers and clients
· Scheduling site visits and client meetings
· Assisting with works scheduling
· Liaising with clients
· Producing quotes for clients
· Managing stock room supplies and equipment
· Arranging tool and vehicle and servicing repairs
· Assisting with health and safety admin
· Checking quality of works and reviewing before and after photos
· Dealing with ad-hoc requests from clients
· Managing emails and calendars
· Monitoring ongoing works – including undertaking site visits
· Requesting orders when stock is low
