Reports to: Director of Operations & Finance
Compensation: $46.35/hour, $77,126.40 (if annualized) salary for core hours with opportunity for additional paid hours.
Benefits: Fully covered health insurance, dental, and vision plans (75% coverage for family), automatic 8% 401k contribution, 10 vacation days, 8 sick days, 2 personal days, 8 holidays, and an end-of-year two-week office closure.
Time commitment: NYAAF observes a 32-hour, 4-day work week for full-time staff. Our core hours are 9-5 pm ET, Monday-Thursday. This position will regularly require evenings and weekend work as needed.
Location: Remote within the New York City Metropolitan area. Must be able to travel to our P.O. box in Manhattan to pick up mail on a weekly basis. NYAAF currently hosts in-person staff meetings in Midtown Manhattan every other month. This may change in the future. New York residents will be prioritized but applicants in surrounding states, particularly New Jersey, will be considered on a case-by-case basis.

POSITION OVERVIEW

Reporting to the Director of Operations & Finance, the Operations Coordinator will fill critical gaps and logistical needs at NYAAF. The Operations Coordinator will ensure smooth day-to-day administrative and organizational operations and support building systems and processes to meet the evolving needs of the organization.
This is a remote position. However, this employee must be able to travel to our P.O. box in Manhattan to pick up mail on a weekly basis. Staff also occasionally meet in person for meetings and retreats.

QUALIFICATIONS AND PROFILE

Required:

  • Live in New York State (applicants in surrounding states, particularly New Jersey, will be considered on a case-by-case basis) and able to retrieve in-person mail in Manhattan on a weekly basis.
  • 3+ years of professional experience in a similar administrative or operations position.
  • Demonstrated commitment to reproductive justice and a liberatory framework that centers racial, gender, economic, LGBTQ, and disability justice.
  • Ability to manage one’s own workload, use good judgement and discernment, keep track of tasks and assignments, and accurately complete daily tasks and meet deadlines.
  • Highly organized with exceptional attention to detail.
  • Commitment and sensitivity to confidentiality and treating secure financial, donor, and client information with the highest degree of confidence.
  • Willingness to support a culture of collective wellness that centers radical kindness, joy, and accountability.
  • Effective communication skills and strong notetaking skills.

Preferred:

  • Experience volunteering or working in the reproductive rights, health, or justice sector.
  • Experience using and managing software and CRM databases; experience in Salesforce and Bloomerang a plus.
  • Experience working in a small organization.

Responsibilities

ROLES AND RESPONSIBILITIES

This is not a complete list of duties and responsibilities. As the landscape of abortion access continues to evolve and NYAAF adapts to the changing needs of our movement and organization, this job description may be updated.

Fundraising and Finance (approximately 50%)

  • Pick up and process the organization’s mail on a weekly basis.
  • Oversee check deposits, mail scans, and gift entry.
  • Assist in sending and processing gift acknowledgements and receipts.
  • Support accurate and timely database entry and management.
  • Assist in government grant reporting and administration.
  • Support annual Fund-A-Thon campaign and event planning.

Administrative (approximately 40%)

  • Manage organization’s general email inbox (info@nyaaf.org), replying to emails, triaging requests and filtering questions.
  • Support organizing and updating Google Drive and shared staff calendars.
  • Contribute to process improvement, support updating and documenting of organizational systems, processes, policies and procedures to improve and optimize the organization’s workflow.
  • Update subscriptions and password database as needed.
  • Order supplies, equipment, and swag as necessary.
  • Support the planning and coordination of online and in-person staff meetings and events.
  • Research and book travel for staff as necessary.
  • Notetaking during meetings as needed.

Other (approximately 10%)

  • Participate in regular check-in meetings with the Director of Operations & Finance, Executive Director, and other staff.
  • Participate in regular staff meetings and retreats (mostly online but occasionally in person).
  • Support organizational culture and learning.
  • Collaborate with various staff on special projects.
  • Other tasks as assigned and needed.
