Reports to: Manager, Special Services
Job Summary: The Operations Coordinator is an entry-level role responsible for supporting the distribution team in managing the day-to-day operations. This position plays a crucial role in ensuring the accurate and timely processing of retirement plan distributions. The coordinator will handle a range of tasks, from monitoring email communication and managing requests to creating Salesforce cases for new requests. The role also involves interacting with plan sponsors, plan participants and internal teams to address missing or incomplete information. This position offers the opportunity to learn the fundamentals of retirement plan administration and gain exposure to the operations of a TPA firm. This role requires a proactive, flexible team player. While primary duties are focused on supporting the distribution team, responsibilities may vary based on business needs, and team members are expected to pitch in and support other operational tasks when needed.

REQUIREMENTS:

  • College degree or associate or bachelor’s degree preferred
  • Previous administrative experience is a plus but not required
  • Excellent verbal and written communication skills
  • Ability to learn and use multiple retirement plan recordkeeping platforms
  • Knowledge of Excel and other Microsoft applications/software
  • Strong math, analytical and problem-solving skills
  • Strong attention to detail and a high level of accuracy
  • Strong time management skills with the ability to manage multiple tasks and meet deadlines.
  • Comfortable learning new systems and working with data.
  • Willingness to learn retirement plan concepts and grow in the role
  • High level of service to internal customers and clients alike

Responsibilities
  • Monitor and route incoming emails to the appropriate team members for timely action.
  • Review distribution requests for missing or incomplete information Not-in-Good-Order (NIGO) and communicate directly with plan sponsors, plan participants and internal teams to resolve outstanding items.
  • Create Salesforce cases for all new incoming requests to ensure proper tracking and completeness.
  • Learn and become familiar with various recordkeeper platforms to retrieve distribution data and participant information. Print and prepare loan amortization schedules to be sent to plan sponsors for participant loan requests.
  • Assist with tracking and documenting distribution statuses in Salesforce.
  • Support the team with general administrative tasks to ensure timely and compliant processing of transactions.
  • Participate in training to expand knowledge of distribution processes, retirement plan documents and industry best practices.
  • Perform other related duties and special projects as assigned to support the distribution team’s efficiency.
